NHOU St Croix Valley is specialized oil undercoating franchise dedicated to protecting vehicles from rust and corrosion through use of New Hampshire Oil Undercoating's (NHOU's) products and related protective processes. We serve individual car owners, fleet operators, classic car enthusiasts, and commercial vehicles across the region. Our expert team delivers high-quality rust prevention solutions in a family-owned, customer-focused environment. Position Summary We are seeking a reliable, organized, and customer-service-oriented Secretary / Administrative Assistant/Social Media Manager to support the daily operations of our growing undercoating business. In this role, you will be the first point of contact for customers and play a vital role in keeping the office running smoothly, managing appointments, responding to comments on social media and supporting our service team.
Key Responsibilities:
Greet customers in person and over the phone with professionalism and enthusiasm Schedule undercoating appointments, consults, events, and follow-up services Manage customer records, vehicle information, and service history in our management system Prepare quotes, process payments, send receipts, and handle basic bookkeeping tasks Answer questions about our oil undercoating process, pricing, and service benefits on the phone, via Facebook and on YouTube Coordinate with technicians to ensure smooth workflow and timely vehicle turnaround Maintain office supplies, files, and organization of service documentation Send service reminders, thank-you communications, and marketing follow-ups Assist with inventory tracking for undercoating materials and supplies Perform general administrative duties including email management, filing, and data entry Support the manager with special projects as needed Qualifications & Requirements High school diploma or equivalent (Associate's degree or administrative certification preferred) 1-3 years of experience as a secretary, administrative assistant, or receptionist (automotive or service industry experience is a strong plus) Proficient in Microsoft Office (Word, Excel, Outlook) and comfortable learning new software Excellent verbal and written communication skills Enjoys interacting with people and educating them on the services we offer Strong organizational skills with attention to detail Ability to multitask in a busy shop environment Professional appearance and positive attitude Valid driver's license (occasional local errands may be required) Preferred Skills Familiarity with basic automotive terminology Experience with scheduling software or point-of-sale systems Knowledge of rust prevention or vehicle maintenance services (we are happy to teach this) What We Offer Hourly wage with performance bonuses Opportunities for growth in an essential industry A friendly environment on a small team where your contributions are highly valued and relied upon Employee vehicle undercoating discounts If you are a proactive team player who enjoys interacting with people while helping them learn about protecting their vehicles from rust, we'd love to hear from you!
