In this vital role, you will be the backbone of daily office operations, ensuring smooth workflows and exceptional support for staff and clients alike. Your energetic approach and attention to detail will help foster an efficient, welcoming environment where administrative excellence thrives. This position offers an exciting opportunity to utilize your diverse skill set in office management, customer service, and clerical support to make a meaningful impact every day. Duties Manage front desk operations, greeting visitors and directing them appropriately with professional phone etiquette. Operate multi-line phone systems efficiently, handling inquiries and routing calls promptly. Oversee calendar management and scheduling for meetings, appointments, and events using Microsoft Office and Google Workspace tools. Perform data entry, filing, and document proofreading to ensure accuracy and organization across all records. Support bookkeeping activities using Aspire or similar accounting software, including invoicing and expense tracking. Provide exceptional customer support via phone, email, or in person by addressing inquiries with a friendly, helpful attitude. Coordinate office supplies procurement, maintain inventory levels, and ensure the office environment is tidy and functional. Requirements Proven experience in office management or administrative roles with strong clerical skills. Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications. Excellent organizational skills with the ability to prioritize tasks effectively in a fast-paced environment. Strong computer literacy including data entry, typing speed, proofreading, and document formatting. Experience handling multi-line phone systems and providing outstanding customer service. Bilingual abilities are highly desirable to serve diverse client needs effectively. Knowledge of QuickBooks or bookkeeping experience is a plus; familiarity with medical or dental receptionist duties is advantageous. Personal assistant or medical receptionist experience will be considered a valuable asset.
