Job Description

Job Overview We are seeking an energetic and detail-oriented Office Administrator/Receptionist to join our dynamic team. This vital role combines front desk responsibilities with office management duties, ensuring smooth daily operations and exceptional customer service. The ideal candidate will be proactive, highly organized, and possess excellent communication skills to create a welcoming environment for visitors and support the administrative functions of the office. Duties Greet visitors, clients, and vendors with professionalism and warmth, providing excellent customer service at all times Manage multi-line phone systems, directing calls efficiently and courteously using proper phone etiquette Handle incoming and outgoing correspondence, including emails, mail, and packages Maintain organized filing systems, both physical and digital, ensuring easy retrieval of documents Perform data entry tasks using Microsoft Office and Google Workspace applications with accuracy and attention to detail Assist with appointment scheduling, calendar management, and meeting coordination for staff members Support bookkeeping activities using QuickBooks or similar accounting software, including invoicing and expense tracking Conduct general clerical duties such as proofreading documents, managing office supplies, and maintaining office equipment Requirements Proven experience in office administration or reception roles with strong organizational skills Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools Familiarity with multi-line phone systems and excellent phone etiquette skills Bilingual abilities are highly desirable to serve diverse clients and team members effectively Experience with QuickBooks or other bookkeeping software is preferred Strong typing skills along with exceptional attention to detail for proofreading and data entry tasks Demonstrated ability to manage time efficiently in a fast-paced environment Previous experience in medical or dental reception is a plus but not required Personal assistant or administrative support experience will be considered an asset Join us to be part of a vibrant team where your organizational talents will shine!
