Full-Time | In-Office About the Role Coldwell Banker Professional Group is seeking a high-performing Office Administrator & Transaction Coordinator to serve as a key operational leader within our Lincol City office. This is a dual-impact role designed for someone who excels in both structure and service. You will act as the backbone of the office, supporting the Sales Manager, agents, and clients while ensuring seamless execution of transactions from contract to close. This position is ideal for someone who thrives in a fast-paced real estate environment, takes pride in maintaining compliance and organization, and is energized by being the person others rely on to keep everything running smoothly. You will play a critical role in elevating the agent and client experience, protecting the integrity of our transactions, and contributing to a high-performance office culture. This is a full-time, in-office position and is not a remote or contract role. What You'll Do Transaction Coordination Manage real estate transactions from mutual acceptance through closing with a high level of accuracy and efficiency Oversee all transaction files to ensure compliance with Oregon real estate requirements and company standards Maintain clean, complete, and audit-ready files within SkySlope and other transaction management systems Track timelines, contingencies, and deadlines with proactive communication and follow-up Serve as a liaison between agents, clients, title companies, lenders, and cooperating brokers Review contracts and documents for completeness, accuracy, and compliance Support agents with contract questions, systems, and best practices Execute and improve transaction workflows, checklists, and SOPs Office Administration & Sales Support Serve as the primary in-office support for the Sales Manager and agents Maintain a professional, organized, clean and welcoming office environment Support onboarding of new agents, including systems setup and file compliance guidance Assist agents with MLS input, listing updates, and administrative needs Coordinate office operations including supplies, vendor relationships, signage, and equipment Support leadership with scheduling, reporting, communication, and office logistics Assist in implementing systems that drive productivity, accountability, and performance Act as the go-to problem solver for daily operational needs within the office Who You Are Active Oregon Real Estate License preferred Experience in transaction coordination, real estate administration, title, or lending required Highly proficient in SkySlope and transaction management systems Strong understanding of contracts, timelines, and compliance requirements Exceptionally organized, detail-oriented, and deadline-driven Able to manage a high volume of transactions while supporting a busy office environment Tech-savvy and comfortable learning and navigating multiple systems Clear, professional, and proactive communicator Calm under pressure with a solutions-focused mindset Team-oriented with a positive, can-do attitude Accountable, dependable, and takes ownership of responsibilities Interested in long-term growth within leadership and operations Preferred Qualifications Licensed real estate professional with the ability to perform licensed activities Experience supporting a high-producing real estate team or office Familiarity with MLS systems, contract writing, and listing management Strong administrative and operational background in a real estate setting Why This Role Matters This is not a typical administrative position.
