The ideal candidate will play a crucial role in ensuring the smooth operation of our office by providing administrative support and assisting with various clerical tasks. This position requires strong organizational skills, proficiency in computer systems, and the ability to manage time effectively. Duties Will scan paper files to digitize and streamline the City's filing system Will scan permits and plans to digitize and streamline the City's records system Ability to utilize city-specific software programs (iWorQ, wide screen scanner) Assist City Clerk and Deputy City Clerk with accepting and processing permit applications submitted to City Handle cash and check payments, as well as keep proper records and issue receipts for payments Manage phone systems, including answering calls, directing inquiries, and taking messages as needed Assist with clerical duties such as filing, scanning documents, and maintaining office supplies. Greet residents and businesses at counter Utilize Google Suite applications for document creation, scheduling, and communication. Other duties assigned by City Clerk or designated staff Collaborate with team members to streamline office processes and improve overall efficiency. Maintain confidentiality of sensitive information in accordance with company policies. Requirements Bachelor Degree preferred or a minimum of 5 years experience as an Office Assistant or in a similar administrative role is required. Municipal government experience is a plus but not mandatory. Proficient in using computer systems and software applications, Strong time management skills with the ability to prioritize tasks effectively. Excellent communication skills, both verbal and written. Attention to detail and accuracy in data entry tasks. Ability to work independently as well as part of a team in a fast-paced environment.
