Job Description

Job Overview We are seeking a dynamic and highly organized Office Assistant to join our team! This energetic role is essential in ensuring the smooth operation of our office environment. As an Office Assistant, you will be the first point of contact for visitors and callers, manage administrative tasks, and support various departments with clerical and organizational needs. Your proactive attitude and excellent communication skills will help foster a welcoming atmosphere and keep our office running efficiently. Responsibilities Greet visitors warmly and direct them appropriately, ensuring a positive first impression. Manage multi-line phone systems, answer inquiries, and route calls with professionalism and courtesy. Maintain organized filing systems, both physical and digital, including data entry and document proofreading. Handle calendar management, scheduling appointments, meetings, and reminders for staff members. Support office management tasks such as ordering supplies, maintaining inventory, and coordinating maintenance requests. Assist with bookkeeping duties using QuickBooks or similar accounting software to track expenses and invoices. Provide exceptional customer service by responding promptly to inquiries via phone or email, supporting clients and staff alike. Perform clerical duties such as photocopying, faxing, mailing, and managing incoming/outgoing correspondence. Support administrative projects including data entry, report preparation, and filing systems to enhance office efficiency. Utilize computer skills across Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace tools, and other relevant software platforms. Experience Prior office experience or administrative support roles demonstrating organizational skills and multitasking ability. Proficiency in computer literacy including typing speed, data entry accuracy, and familiarity with Microsoft Office and Google Workspace applications. Experience handling multi-line phone systems with excellent phone etiquette. Bilingual abilities are highly desirable to effectively communicate with diverse clients and team members. Knowledge of clerical procedures such as filing, proofreading, calendar management, and customer support practices. Previous experience in medical or dental receptionist roles is a plus but not required; strong organizational skills are essential. Demonstrated ability to manage time efficiently while handling multiple priorities in a fast-paced environment.
