Overview We are seeking a dynamic and organized Office Assistant to join our team and help ensure the smooth operation of our office environment. This role is vital in providing exceptional administrative support, managing front desk responsibilities, and maintaining efficient office workflows. The ideal candidate will be energetic, detail-oriented, and possess strong communication skills to foster a welcoming atmosphere for clients, visitors, and team members alike. Duties Greet visitors and clients warmly at the front desk, ensuring a positive first impression Manage multi-line phone systems, directing calls efficiently and professionally using proper phone etiquette Handle data entry tasks with accuracy using basic computer and typing skills Experience with Microsoft Word and email preferred Maintain organized filing systems, both physical and digital, for easy retrieval of documents and records Support office management activities such as calendar management, appointment scheduling, and coordinating meetings Provide customer support by addressing inquiries promptly and courteously, ensuring excellent service at all times Skills Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools for document creation and communication Strong organizational skills with the ability to prioritize tasks effectively in a fast-paced environment Excellent typing speed and accuracy for data entry and document proofreading Experience with multi-line phone systems and phone etiquette to handle calls professionally Bilingual abilities are a plus to serve diverse client needs more effectively Demonstrated office experience or clerical background supporting administrative functions Knowledge of office management practices including filing, calendar management, and supply coordination Customer service skills with a friendly demeanor to support visitors and clients confidently Join us as an Office Assistant where your energy fuels our productivity!
