Job Description
Job Description Position Summary The Office Coordinator is responsible for managing administrative operations at Robert Mondavi Winery and supporting The Prisoner Wine Company. This role serves as the primary point of contact for all office and visitor needs at RMW, supports TPWC's administrative requirements, and helps develop standardized office practices across the network. Responsibilities Office & Facilities Oversight (75% of workload) Serve as the central resource for employees, partners, and visitors, providing accurate, timely information about the facility. Act as the "heartbeat" of the office, facilitating effective communication across all functions, maintaining employee location and email distribution lists, and organizing internal events (meetings, blood drives, wellness events, celebrations). Maintain and organize digital filing systems. Coordinate and facilitate package and mail delivery Record meeting minutes for management and leadership meetings; create and maintain company calendars to foster collaboration. Ensure compliance with CBI EHS policies, supporting programs for safety, conservation, energy efficiency, and recycling. Coordinate employee give-a-ways and team product orders. Oversee optimal operation of office, reception, and break areas, handling all incoming communications. Develop and manage standard operating procedures and documentation. Coordinate with CBI corporate teams to ensure equipment and directory information are current. Manage email distribution lists and shared site calendars. Oversee office equipment, supplies, break rooms, and employee areas. Handle incoming and outgoing shipping and freight (FedEx, UPS, USPS). Liaise with vendors and site facilities team for service and activities. Maintain records and filing systems. Collaborate with CBI Security Team on maintenance, alarm systems, access zoning, and employee badge management (with HR). Monitor office budget, prepare monthly expense reports, and ensure adherence. Coordinate regional activities and events. Support community outreach initiatives. Maintain and organize libraries Coordinate and support all aspects of tasting setup and cleanup. Onboarding support for new hires Serve as a point of contact for basic IT support and troubleshooting; coordinate with IT department for office technology needs and requests. Assist with data entry and preparation of reports as requested Administrative Support for TPWC (25% of workload) Align standard supplies and support with RMW. Assist as needed with organizing meetings and events. Liaise with CBI Security Team regarding maintenance, security footage requests, alarm systems, access zoning, and employee badge management (with HR).

Experience developing standard operating procedures Commitment to excellence Self-starter with exceptional organizational skills Strong communication and interpersonal abilities; able to collaborate across teams Proficient computer skills Preferred Qualifications Experience in the wine industry Passion and knowledge of wine Familiarity with SAP, Ariba, CMMS software Bilingual (English & Spanish)Work Environment:

Our compensation is based on cost of labor.
