Job Description

Position Summary Under general supervision, the Office Coordinator/Customer Service Representative provides exceptional customer service while supporting daily office operations, billing and payment processing, customer account maintenance, scheduling, and operational coordination for fuel delivery and service operations. This position serves as a primary point of contact for customers, drivers, technicians, and management, helping ensure accurate records, efficient workflow, and timely resolution of customer and operational needs. Essential Duties and Responsibilities May include, but are not limited to: Customer Service & Front Office Support Answer multi-line telephone system and assist walk-in customers with account questions, payments, service requests, and general inquiries. Provide professional, courteous, and solution-focused customer service. Process customer payments, issue receipts, and maintain accurate daily cash balancing procedures. Prepare and send invoices, correspondence, and customer documentation by mail or email. Schedule appointments and maintain management calendars. Customer Account Management Maintain customer records and account information in company software systems. Set up new customer accounts and verify account accuracy, including delivery, equipment, and route information. Update customer account details, credit documentation, and billing information as needed. Follow up on customer account changes, move-outs, leased equipment, and account closures. Billing, Payments & Accounts Receivable Support Enter invoices, payments, and account transactions accurately and timely. Assist with accounts receivable activities, including collection calls, past-due account follow-up, and payment arrangements. Work with management on account resolution, write-offs, and collection actions when necessary. Prepare legal documentation related to account collections when required. Operations & Logistics Support Verify fuel and propane delivery tickets and ensure deliveries are posted accurately. Review driver logs, fuel loads, transfers, and inventory records; research discrepancies and make system corrections as needed. Prepare service work orders and coordinate scheduling with service personnel. Prepare documentation for new propane installations, tank leases, inspections, permits, and related compliance paperwork. Serve as a liaison between customers, delivery drivers, technicians, and management. Inventory, Reporting & Records Management Maintain daily, weekly, and monthly inventory records for fuel, propane, and equipment. Prepare operational and inventory reports for management. Scan, file, archive, and organize customer and operational records. Maintain office supplies and coordinate copier/office equipment supply orders. Administrative & General Office Support Assist with mail pickup, bank deposits, and other office errands as needed. Support managers with special projects, reporting, scheduling, and operational tasks. Assist with seasonal programs, regulatory documentation, and other business support activities. Perform other duties as assigned.
