We are looking for a meticulous and organized Office Manager to join our team in an on-site, full-time position at our offices in Manhattan. In this role, you will be the operational backbone of our office, overseeing day-to-day administrative functions to ensure a smooth, efficient, and professional work environment. You will manage incoming and outgoing mail and packages, coordinate with internal departments, oversee office vendors and supplies, and provide broad administrative support to leadership and staff. Responsibilities Oversee and manage all incoming and outgoing mail, packages, and shipments, ensuring timely and accurate distribution Maintain and organize office filing systems, both physical and digital, including document scanning and uploads to internal software platforms Coordinate office operations and procedures to ensure organizational effectiveness and efficiency Serve as the primary point of contact for office vendors, building management, and service providers Manage office supply inventory, anticipating needs and placing orders as necessary Support senior leadership and department heads with scheduling, correspondence, and project coordination Assist with onboarding new employees, including workspace setup and equipment provisioning Liaise with the IT team to troubleshoot basic technical issues and coordinate equipment needs Handle confidential information with discretion and professionalism Experience & Qualifications 4+ years of experience in an office management or senior administrative role Excellent written and verbal communication skills Strong attention to detail and organizational skills with the ability to multitask in a fast-paced environment Technology savvy and proficient in MS Office (Word, Excel, Outlook) Experience with office equipment including scanners, printers, and postage meters Ability to work both independently and collaboratively across teams Ability to handle sensitive and confidential information with professionalism Ability to lift up to 50 poundsSimilar remote jobs
