Responsibilities Manage front desk operations, greeting visitors and directing calls with professionalism and courtesy Operate multi-line phone systems, handle inquiries, transfer calls, and take detailed messages Maintain organized filing systems, both physical and digital, ensuring easy retrieval of documents Perform data entry tasks using Microsoft Office and Google Workspace applications with accuracy and speed Assist with bookkeeping duties utilizing QuickBooks software to track expenses and invoices Support office management activities including calendar management, scheduling appointments, and coordinating meetings Provide customer support by addressing inquiries promptly and professionally, ensuring excellent service at all times Proofread correspondence, reports, and other documents for clarity, accuracy, and proper formatting Handle clerical duties such as photocopying, faxing, mailing, and maintaining office supplies Experience Previous office experience or administrative support role required; experience in office management is a plus Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace tools (Gmail, Calendar, Drive) Familiarity with QuickBooks or similar bookkeeping software preferred Strong organizational skills with the ability to prioritize tasks effectively in a fast-paced environment Excellent phone etiquette skills with experience managing multi-line phone systems Bilingual abilities are highly desirable to assist diverse client needs Demonstrated clerical experience including data entry, filing, proofreading, and customer service excellence Proven ability to manage time efficiently while handling multiple responsibilities simultaneously Join us now to be part of an energetic team that values your skills and dedication!
