Job Posting:
Operations & Administrative Coordinator Embers Protection Services, Inc. Embers Protection Services is a leader in the design and installation of cutting-edge autonomous fire suppression systems. We provide high-tech, proactive safety solutions that protect lives and property before a fire even has a chance to spread. We are seeking a highly organized and proactive Operations & Administrative Coordinator to serve as the backbone of our office operations. The successful applicant will ensure our field teams are where they need to be and our clients receive the world-class service they expect.
Core Responsibilities:
The Operations & Administrative Coordinator will be responsible for the following key areas:
Administrative Support:
Provide direct support to management by preparing high-level reports, managing correspondence, and assisting with special projects as assigned.
Client Liaison:
Act as the primary point of contact for client inquiries, guiding them through our service process and ensuring their fire protection needs are met promptly.
Documentation & Compliance:
Maintain meticulous records of system inspections and certifications. The applicant must ensure all paperwork aligns with industry fire safety regulations and internal standards.
Inventory & Logistics:
Coordinate with vendors to track hardware shipments and ensure technicians have the necessary autonomous components for scheduled jobs.
Financial Administration:
Assist with invoicing, expense tracking, and basic bookkeeping tasks to keep the department's budget on track.
Required Qualifications Experience:
Proven experience in an office coordination or administrative role, preferably within the construction, safety, or technology sectors.
Communication:
Exceptional verbal and written communication skills. You are the "voice" of Embers for many of our clients.
Tech-Savvy:
Proficiency in office software (G-Suite/Microsoft 365) and an ability to quickly learn proprietary scheduling or CRM software.
Adaptability:
A "firefighter" mindset—able to stay cool under pressure and pivot priorities when urgent client needs arise.
Detail-Oriented:
In the world of fire suppression, there is no room for error. The applicant must possess a high degree of accuracy in data entry and filing.
Pay:
$25.00 - $31.05 per hour
