is seeking a highly organized and detail-oriented Operations Administrator to support our growing operations team. This role serves as a key coordination point between sales, purchasing, operations, and finance while helping maintain strong internal controls and operational efficiency. Job Summary The Operations Administrator is responsible for supporting daily business operations through document management, purchase order coordination, vendor communication, administrative support, and operational tracking. This role plays a critical part in ensuring purchasing workflows are accurate, organized, and compliant with company procedures. Administrative & Operations Support Receive, organize, scan, and route incoming mail, invoices, and vendor correspondence Maintain organized digital and physical filing systems Provide administrative support to leadership and operations teams Coordinate office supply orders and general office operations Assist with operational reporting and tracking activities Purchasing & Vendor Coordination Create and manage purchase orders based on approved customer quotes Coordinate orders with distributors and approved vendors Track open purchase orders and confirm product/service delivery Maintain vendor documentation and procurement records Identify discrepancies between invoices and purchase orders for finance review Compliance & Internal Controls Ensure all purchases follow approved procurement procedures Maintain accurate documentation for operational and financial tracking Support proper segregation of duties and financial accountability processes Assist with audit readiness and operational documentation Qualifications Required 2+ years of administrative, operations, purchasing, or office coordination experience Strong Microsoft Office skills (Word, Excel, Outlook, Teams) Excellent organizational and time management skills High attention to detail and accuracy Strong written and verbal communication skills Ability to manage multiple priorities in a fast-paced environment Preferred Experience in an IT services, managed services, or technology environment Experience with QuickBooks, ConnectWise, or similar systems Familiarity with purchasing workflows and vendor management Associate's or Bachelor's degree in Business Administration or related field Skills Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications Excellent organizational skills with the ability to prioritize tasks effectively in a busy environment Experience with office management systems and administrative procedures including data entry and record keeping Proven ability to handle multiple responsibilities simultaneously while maintaining attention to detail and accuracy Join us as an Operations Administrator and be part of a vibrant team dedicated to excellence!
