Job Description

Operations & Customer Service Associate Full-Time | On-Site | Reporting to Operations Manager About the Role We are looking for a sharp, organized, and proactive team member to join our Office Operations team. This role sits at the center of our day-to-day business — touching customer service, logistics, purchasing, inventory, and internal project coordination. The right person is someone who thinks ahead, communicates clearly, follows through on details, and thrives in a fast-moving environment. You will work closely with the Operations Manager and a small, collaborative office team to keep things running smoothly across multiple functions. Key Responsibilities Customer Service Serve as a point of contact for customer inquiries, providing timely and professional responses Manage and resolve order-related questions, discrepancies, and follow-ups Build and maintain positive relationships with customers and vendors Data Entry & Administration Accurately enter and maintain records in our ERP and internal systems Prepare reports, summaries, and documents to support operations and management Ensure data integrity across orders, inventory, and purchasing records Logistics Coordination Coordinate inbound and outbound shipments, scheduling, and carrier communication Track orders and deliveries, proactively flagging delays or discrepancies Support the operations team in managing warehouse and distribution workflows Purchasing & Inventory Planning Assist with purchase order creation, vendor follow-up, and procurement tracking Monitor inventory levels and help coordinate replenishment planning Work with suppliers to confirm lead times, pricing, and order status Project Coordination Help track and move forward internal company projects and initiatives Communicate updates across departments to keep teams aligned Identify and flag bottlenecks, following up to ensure tasks are completed on time What We're Looking For Exceptionally organized — you keep track of details without being reminded Strong communicator, both written and verbal, with a professional and friendly presence Quick learner who can work across multiple systems and responsibilities Comfortable working independently and as part of a small, close-knit team Proactive mindset — you anticipate what's needed and get ahead of problems Experience with ERP or business software a plus (Microsoft Dynamics / Business Central experience is a bonus) Background in operations, logistics, purchasing, or customer service preferred Associate's or Bachelor's degree, or equivalent work experience What You Can Expect A stable, hands-on role with real ownership and variety day to day A supportive team environment where your contributions are visible and valued Opportunity to grow within the company as the business expands Competitive compensation commensurate with experience
