We are looking for an Operations Specialist to join our growing team!
Duties:
Provide onsite direct support to a DoD client, serving as a staff action officer for the Product Director. Perform and maintain support functions, including monitoring, triaging, and responding to all incoming and outgoing taskings, as appropriate. Coordinate responses and perform quality control and assurance prior to senior management review of programmatic documentation. Draft, proofread, and edit internal and external correspondence. Serve as a highly visible, client-facing Action Officer in support of a multi-million-dollar persistence surveillance program with more than 50 government and contractor personnel. Ensure critical information is disseminated to internal and external entities, as appropriate.Requirements Responsibilities:
- Provide administrative and operations support performing items such as reception, word processing, scheduling, database maintenance, document preparation, technical writing and documentation, development of deliverables, meetings, and conference support.
- Maintain the calendar, travel documentation (including Defense Travel System), update travel status, prepare official documentation/correspondence IAW AR 25-50 and arrange for meetings of organization.
- Manage scheduling of conference rooms; maintain conference room SharePoint calendar, arrange for teleconference support, set up conference room, ensure copier and printer equipment is operational and coordinate maintenance, as required.
- Perform and maintain support functions, including monitoring, staffing with designated functional areas of the organization, tracking, and responding to all incoming and outgoing taskings, to ensure a timely response IAW assigned suspense date..
- Assist with operations in supporting office functions and events, including but not limited to change of charter ceremonies.
- Assist with managing office needs, monitor space requirements, ensure office equipment is operational and coordinate office equipment maintenance, as required. Office equipment includes but is not limited computers, telephones, and video-teleconference equipment.
- Coordinates VIP visits.
- Support organizational-level operations.
- Maintain operations functional policies and procedures and communications (EXSUMS, Info Papers, Briefings, etc.)
- Archive operational documents and information.
- Receives minimal direction, technical guidance, and leadership necessary to accomplish the mission.
- Defines and document processes into standard operating procedures or other written procedures.
- Possesses knowledge of organizational planning, risk management, and program analysis
- Identifies existing or potential problem areas within the area of operations and recommends corrective action.
Qualifications/Requirements:
- Secret clearance level.
- Two (2) or more years in experience in Administrative and or Operations Support
- BA/BS or higher.
- An additional 5 years experience in a related field may be substituted for education.
