Brief Description:
An Operations Supervisor oversees the daily operations of a business or department to ensure efficiency, productivity, quality, and profitability. This role manages processes, staff, and operational strategies while driving continuous improvement and supporting organizational goals.
Job Responsibilities:
Supervise day‑to‑day operations across customer service, order entry, warehouse, delivery logistics, on‑site vending programs, and vehicle/fleet activities in a hands‑on role. Process and oversee customer orders from entry through delivery, ensuring accurate data entry, correct pricing, proper documentation, and timely customer communication. Perform and supervise warehouse activities, including receiving, put‑away, picking, packing, shipping, and routine cycle counts to maintain accurate inventory and organized storage. Maintain inventory control by monitoring stock levels, organizing bin locations, reconciling discrepancies, and implementing basic controls to minimize stock‑outs, errors, and shrink. Plan, dispatch, and adjust daily delivery routes and schedules for the delivery/warehouse team to meet customer time windows while managing mileage, labor hours, and truck capacity. Oversee and participate in on‑site customer vending programs, including product setup, replenishment, inventory checks, cleanliness, machine uptime, and basic troubleshooting or vendor coordination. Coordinate vehicle and equipment maintenance and inspections, schedule service with vendors, maintain logs and documentation, and ensure compliance with safety and transportation requirements. Oversee basic facilities maintenance for the office and warehouse, including coordinating repairs and preventive maintenance, managing service vendors, and ensuring a clean, safe, and organized work environment. Monitor key performance metrics (e.g., order accuracy, fill rates, on time delivery, inventory accuracy, response times) and implement practical, front‑line process improvements. Directly lead and coach a small cross‑functional team, including training, daily task assignment, performance feedback, and cross‑training to ensure coverage. Conduct regular one‑on‑one meetings and formal performance reviews for individual contributors, setting clear expectations, documenting performance, and supporting development plans. Prepare, publish, and adjust daily and weekly work schedules, balancing workload, vacations/absences, coverage needs, and overtime control. Track and manage operational expenses (e.g., supplies, maintenance, fuel, overtime), provide input to the annual budget, and help ensure spending stays within approved guidelines. Serve as primary point of contact for day‑to‑day operational issues and customer escalations, performing basic root‑cause analysis and putting corrective actions in place. Partner with HR, finance, and sales on timekeeping and approvals, staffing needs, budgeting inputs, and customer requirements that affect service levels and operations. Enforce company policies, safety procedures, OSHA guidelines, and transportation regulations; conduct safety talks, inspections, and assist with incident reporting and follow‑up. Maintain accurate operational records and provide concise updates and reports to ownership/senior leadership on volumes, service performance, issues, and improvement efforts. Support a culture of continuous improvement by standardizing procedures, organizing work areas (5S mindset), and implementing simple, lean changes to increase productivity and reduce waste.
