Job Description
Operations Supervisor Healthy Smiles NYS Healthy Smiles NYS is a rapidly growing school based dental program serving hundreds of schools throughout New York State. We are seeking a highly organized, motivated and proactive Operations Supervisor to help oversee daily operations, staffing coordination, compliance, billing support and expansion efforts across the state. This is a hybrid leadership role that combines in school operational oversight with behind the scenes coordination, compliance and management. The ideal candidate is detail oriented, comfortable managing multiple moving parts and excited to help scale a fast growing healthcare organization.
Position Overview:
The Operations Supervisor will serve as a key operational point of contact for school based visits while helping improve workflows, support compliance initiatives, coordinate logistics and assist with onboarding and expansion into new schools and districts. This role will also include learning, managing and overseeing the operational and regulatory compliance requirements for the program. This includes coordination with leadership to ensure adherence to school, healthcare, Medicaid, NYC DOHMH and NYS requirements. This position includes both field based responsibilities inside schools and administrative/operational work outside of school visits.Key Responsibilities:
Daily Responsibilities:
Serve as the primary operational contact for in school issues Address day of operational concerns: PPE compliance Infection control Sharps handling Logistics coordination Coordinate with clinical leadership on operational and compliance matters Assist in monitoring and maintaining program compliance standards Respond to parent questions and concerns regarding services provided Support day to day billing workflows and troubleshoot billing related issues Coordinate urgent website or online consent issues with internal teams Ensure equipment, supplies and materials are properly prepared and deployed for school visitsWeekly Responsibilities:
Confirm school schedules, staffing assignments and visit logistics Ensure consent forms, student lists and visit materials are complete Monitor weekly billing output and follow up on outstanding items Coordinate onboarding of newly approved schools to the online consent platform Verify online consent links are active and correctly mapped Maintain organized inventory and stockroom management Ensure schools have physical consent forms available in required languages Prepare weekly operational, compliance, and growth updates for leadership Maintain internal reporting metrics for: Schools served Students treated Services renderedQuarterly & Annual Responsibilities:
Assist with Medicaid billing and utilization reporting Coordinate with billing offices and specialists regarding workflows and issues Audit consent return rates and participation trends by district Help refine operational systems to improve efficiency and increase participation Learn and oversee compliance requirements related to: MedicaidNYC DOHMH NYS
regulations School district requirements Assist with annual billing summaries and compliance reporting Support onboarding of new schools and renewal of school agreements Coordinate fingerprinting and clearance tracking for new hires Develop standardized onboarding processes and school welcome materials Support audits and information requests related to Medicaid, DOH, or school districtsQualifications:
Strong organizational and communication skills Ability to manage multiple projects simultaneously Comfortable working independently and as part of a team Strong problem solving ability and attention to detail Comfortable in fast paced operational environments Experience in operations, healthcare, dental, medical, school operations, compliance or administrative environments preferred Willingness to travel throughout New York State as neededSchedule & Compensation:
Full time hybrid position Primarily weekday schedule aligned with school hours Some travel throughout New York State required Compensation range: $100,000-$120,000 annually based on experienceAbout Healthy Smiles NYS:
