Position Summary:

We are seeking a detail-oriented and proactive Order Fulfillment Coordinator to join our operations team. This critical back-end sales support role ensures seamless order processing, timely procurement of raw materials, and on-time fulfillment to meet the urgent needs of our energy industry customers. You will act as the vital link between sales, suppliers, and customers—coordinating every step to keep projects moving in high-stakes environments.

Key Responsibilities Order Management & Fulfillment:

Process incoming customer requests accurately and efficiently. Track orders from entry through production, inventory allocation, shipping, and delivery. Provide proactive status updates to sales teams and customers.

Raw Material Procurement:

Source and procure raw materials (steel, alloys, specialty metals, coatings, etc.) required to fulfill customer orders. Negotiate with approved suppliers to ensure competitive pricing, quality, and lead times that align with the urgent demands of the energy market.

Inventory Coordination:

Monitor stock levels, forecast material needs based on order pipeline, and work with vendors to prevent shortages or excess inventory. Coordinate with manufacturing partners for custom or made-to-order fasteners.

Back-End Sales Support:

Collaborate closely with the sales team to resolve order issues, expedite urgent requests, and ensure customer specifications (including compliance with industry standards such as ASME, ASTM, or project-specific requirements) are met.

Documentation & Compliance:

Prepare and maintain accurate shipping documents, certificates of compliance, material test reports, and other required paperwork. Ensure all activities comply with quality, safety, and regulatory standards relevant to the energy sector.

Continuous Improvement:

Identify bottlenecks in the fulfillment process and recommend solutions to improve speed, accuracy, and customer satisfaction in our fast-paced environment. Qualifications & Requirements 3+ years of experience in order fulfillment, supply chain coordination, or procurement—preferably in industrial products, manufacturing, or energy-related sectors. Strong understanding of industrial supply, raw materials (metals, coatings), and supply chain dynamics. Proven ability to manage multiple priorities and meet tight deadlines in a high-pressure, fast-paced setting. Excellent communication and interpersonal skills—able to interface effectively with sales, suppliers, and customers. Proficiency in ERP systems, Microsoft Office Suite (especially Excel), and order management tools. Detail-oriented with strong problem-solving and organizational skills.
