We are hiring a detail-oriented Part-Time Finance & HR / Recruiting Coordinator to support our office operations in the 07458 area of New Jersey. Position Summary We are seeking a part-time Finance & HR / Recruiting Coordinator who can support daily finance administration, HR documentation, recruiting coordination, employee records, payroll preparation, and cross-location communication. This role is based onsite in our 07458 New Jersey office and will regularly coordinate remotely with warehouse and office teams in California 91730, Pennsylvania 17901, and China. The position requires strong organization, confidentiality, clear communication, follow-through, and the ability to coordinate recruiting and administrative work across different locations and time zones. Mandarin Chinese and English communication skills are required because this role involves regular work related communication with Mandarin speaking management and China-based team members, as well as English speaking employees, candidates, warehouse teams, vendors, payroll providers, accountants, and external partners. Work Location Onsite office role in the 07458 area of New Jersey. This position will also remotely support company operations and recruiting coordination for teams in:
  • California 91730 area
  • Pennsylvania 17901 area
  • China-based team members and management support functions Schedule Part-time, approximately 20 to 25 hours per week.
Schedule may be flexible within normal business hours, Monday to Friday, based on business needs. Occasional coordination outside regular hours may be needed due to communication with China-based team members. Pay Range

per hour. Key Responsibilities Finance and Accounting Support
  • Assist with accounts payable, accounts receivable, invoice review, payment tracking, and expense documentation.
  • Organize receipts, bills, vendor records, bank records, credit card statements, and supporting documents.
  • Support bank, credit card, sales, expense, and account reconciliation work.
  • Maintain accurate financial records in spreadsheets, accounting software, shared files, or other company systems.
  • Prepare basic financial summaries, expense reports, payment status updates, and document packages for management or the company accountant.
  • Follow up on missing documents, invoice discrepancies, payment questions, and approval records.
  • Support month-end closing preparation and other finance projects as assigned. HR, Recruiting, and Interview Coordination
  • Coordinate recruiting needs with management, warehouse supervisors, and department leaders in New Jersey, California, Pennsylvania, and China.
  • Help collect hiring requirements, job descriptions, work schedules, pay ranges, candidate qualifications, and interview availability from different teams.
  • Assist with job posting updates, candidate screening coordination, interview scheduling, and candidate communication.
  • Schedule candidates for onsite warehouse interviews at the appropriate warehouse location, including California 91730 and Pennsylvania 17901, based on hiring needs.
  • Confirm interview time, location, contact person, role requirements, and next steps with candidates and internal interviewers.
  • Track candidate status, interview feedback, follow-up items, and hiring progress in spreadsheets, Indeed, email, or other company systems.
  • Assist with offer document preparation, onboarding checklists, new hire paperwork, and employee file maintenance.
  • Support payroll preparation, attendance records, paid sick leave tracking, PTO records, schedule records, and HR documentation.
  • Maintain confidential employee and candidate information with care and professionalism. Cross-Location Communication
  • Serve as an administrative coordination point between the New Jersey office, warehouse teams, management, and China-based colleagues.
  • Follow up on open HR, recruiting, finance, payroll, and documentation items across multiple locations.
  • Communicate clearly in English and Mandarin when needed for work related coordination.
  • Help organize action items from meetings, messages, emails, and operational requests.
  • Escalate urgent hiring, payroll, employee, documentation, or communication issues to management in a timely manner. Office Administration
  • Support general office organization, document filing, scanning, data entry, and recordkeeping.
  • Communicate with internal teams regarding missing information, deadlines, employee questions, or document requests.
  • Help improve administrative processes so finance, HR, and recruiting records are accurate, complete, and easy to retrieve.
  • Perform other related duties as assigned to support business operations. Qualifications
  • Bilingual Mandarin Chinese and English communication skills are required for work related communication.
  • 2 or more years of experience in accounting support, bookkeeping, payroll support, HR administration, recruiting coordination, office administration, or a similar role preferred.
  • Experience coordinating interviews, job postings, candidate communication, or onboarding is preferred.
  • Experience with QuickBooks, payroll systems, Indeed, Microsoft Excel, Google Sheets, Google Drive, email, or similar tools preferred.
  • Basic understanding of invoices, expenses, reconciliations, payroll records, employee files, hiring records, and confidential document handling.
  • Strong attention to detail, organization, follow-through, discretion, communication, and problem solving skills.
  • Ability to coordinate work across multiple locations and time zones.
  • Must be able to work onsite in the 07458 area of New Jersey.
