POSITION SUMMARY
The Utility Billing Clerk/Secretary is responsible for administering the utility billing process, ensuring accurate and timely generation and distribution of utility bills, processing payments, and maintaining billing records. This position provides excellent customer service to residents and manages various administrative tasks to support the daily operations of the village office.
KEY RESPONSIBILITIES
Utility Billing Administration:
Generate and distribute monthly utility bills to customers. Process customer payments, including cash, checks, and electronic transactions, ensuring accuracy. Maintain and update billing records, account information, and meter readings in the utility management system. Address and resolve billing inquiries, discrepancies, and service requests from customers.
Customer Service:
Respond promptly to phone calls, emails, and in-person inquiries regarding utility accounts and services. Assist customers with account setup, adjustments, closures, and service changes. Communicate effectively with utility service providers and other relevant parties as needed.
Administrative Duties:
Perform general office tasks, including managing correspondence, scheduling appointments, and maintaining files and records. Assist with office organization to ensure efficient daily operations. Handle office supplies inventory, equipment maintenance, and other administrative tasks.
Reporting & Compliance:
Prepare and generate reports on utility billing, account status, and financial summaries for the Village Administrator. Ensure compliance with village policies, procedures, and regulations related to utility billing and record-keeping. Maintain data integrity and confidentiality in all records and systems.
MINIMUM QUALIFICATIONS
High School Diploma or Equivalent. Experience in customer service or administrative support roles is preferred.
COMPENSATION & BENEFITS
The current pay range is $16.74 to $21.37, paid leave including accrued sick leave, vacation leave, and holiday leave. As well as enrollment in the Ohio Public Retirement System (OPERS) pension program.
