The Opportunity We are seeking a professional, emotionally intelligent, highly organized front office coordinator to serve as the first and lasting impression of Birch Dental Studio. This role blends hospitality, communication, scheduling, and financial coordination. The right person understands that exceptional service is found in the details: anticipating needs, communicating clearly, maintaining composure, and helping patients feel cared for from arrival through departure. You should be equally comfortable welcoming a nervous new patient, managing a busy schedule with calm precision, and confidently discussing financial responsibilities with professionalism and clarity. This is an important role within a growing boutique practice and ideal for someone who takes pride in both exceptional service and operational excellence. Core Responsibilities Patient Experience Create a calm, polished, welcoming experience for every patient Serve as the primary point of contact for patient communication Anticipate needs and help visits feel seamless and thoughtfully managed Maintain a consistently organized, elevated reception environment Support service recovery when issues arise with professionalism and grace Scheduling & Communication Manage appointment scheduling with attention to efficiency and patient experience Handle phone, text, and email communication with warmth and professionalism Coordinate appointment confirmations, recalls, and follow-up communication Support smooth daily schedule flow and provider productivity Financial Coordination Collect patient payments and outstanding balances confidently and professionally Present treatment estimates and patient financial responsibilities clearly Support insurance verification, benefits review, and treatment coordination Assist with billing follow-up, claims support, and administrative revenue cycle workflows Maintain accuracy, discretion, and professionalism in all financial communications What We're Looking For The ideal candidate: Has prior experience in dental, medical, hospitality, wellness, concierge, or other high-service environments Is naturally warm, professional, and emotionally intelligent Communicates with clarity, maturity, and confidence Is highly organized and detail-oriented Is comfortable discussing payments and financial expectations directly Maintains calm under pressure Notices details others miss Takes initiative without needing constant direction Learns systems quickly and values operational discipline Is exceptionally dependable, punctual, and accountable Understands discretion, ownership, and professionalism Preferred Qualifications Dental front desk experience strongly preferred Experience with insurance verification, treatment coordination, or billing workflows Experience collecting payments in a patient-facing or customer-facing role Familiarity with dental practice management software (CareStack a plus)Position Details Title:
