At North Idaho Eye Institute, we're looking for a Patient Services Representative who thrives in a fast-paced setting and takes pride in helping others. You'll be the first point of contact for our patients—setting the tone for their visit and ensuring every interaction is smooth, professional, and supportive. What You'll Be Doing Greet patients with professionalism and warmth Update demographics and insurance details during check-in Answer and route calls using a multi-line phone system Schedule appointments and make reminder calls Verify insurance coverage and obtain prior authorizations Collect co-pays and outstanding balances; set up payment plans when needed Refer billing inquiries to the appropriate department Check out patients and schedule follow-ups Create and maintain accurate patient charts Monitor and manage no-show appointments Keep the waiting area clean, organized, and welcoming Stock and maintain coffee stations Assist with medical records and general office tasks (copying, faxing, scanning, mail handling) Provide administrative support to supervisors and clinic manager Rotate between three clinic locations based on operational needs What We're Looking For Minimum of two years of office experience (medical office experience preferred) High School Diploma or GED Strong verbal and written communication skills Excellent organizational skills and ability to multitask Proficiency in Microsoft Office (Word, Excel, OneDrive, Outlook) Commitment to confidentiality and professionalism Detail-oriented mindset with a proactive, team-first attitude Pre-Employment Requirements Background check Pre-employment drug screening Employment is contingent upon successful completion of both. The Patient Services Representative provides quality customer service to all North Idaho Eye Institute patients in the check in and check out process. Works closely with Ophthalmic Technicians and providers to ensure patient visits are processed in a timely manner. Implements policies and protocols for North Idaho Eye Institute.Duties and Responsibilities:
Checks in patients and updates demographics at each visit including insurances if applicable. Rotates into the Call Center on multi-line phone system for clinic, takes accurate messages, and delivers promptly to Providers. Schedules appointments as needed for new and established patients using electronic practice management system. Makes reminder calls for all scheduled patients. Reviews provider schedules and alerts Patient Supervisor Lead of any necessary changes or concerns. Makes sure each patient chart accurately reflects the paperwork completed by the patient and/or guardian. Verifies insurance for each visit and obtains prior authorization if needed. Collects co-pays, co-insurance or private pay balances from each patient at each visit. Ability to set up patient payment plan if patient is unable to pay balance at the time of service. If patient cannot pay their co-pay, that patient is directed to the collections/billing staff. Checks out Patients, collecting money for services rendered and scheduling follow ups as needed per provider discretion. Creates and organizes charts. Keeps track of No Shows. Follows No Show protocol. Straightens waiting room area when needed throughout the day. Makes sure each coffee station is stocked and coffee is made for patients throughout the day. Assists Medical Records as needed. Assists Patient Services Representative Lead and Clinic Manager as needed. General office duties such as copying, faxing, scanning and handling mail.
