Full Job Description Overview:
We are seeking a detail-oriented and dependable Payroll Coordinator to support daily payroll operations and help ensure employees are paid accurately and on time. This role works closely with the Payroll Manager to process payroll transactions, audit payroll data, maintain compliance with payroll laws and company policies, and provide excellent support to employees across multiple locations. The ideal candidate thrives in a fast-paced environment, values accuracy and confidentiality, and enjoys problem-solving.
Responsibilities:
Payroll Processing & Auditing Assist with the accurate and timely processing and auditing of payroll transactions, including: Rate changes Payroll deductions Shift differentials and premiums Adjustments New hires and terminations Garnishments and child support orders Review payroll data for accuracy and compliance with company policies and federal, state, and local regulations. Audit and manage employee timecards, breaks, lunches, and timesheet submissions to ensure payroll deadlines are met. Conduct payroll audits and reconcile reports to validate internal payroll controls and identify discrepancies. Generate, analyze, and distribute payroll-related reports for management and operational teams. Employee Support & Communication Serve as a resource for employees regarding payroll-related programs and questions, including: Direct deposit Pay cards Tax deductions Timekeeping inquiries Provide clear instruction and guidance regarding payroll processes and procedures. Communicate payroll issues, discrepancies, or concerns in a timely and professional manner. Compliance & Administration Maintain knowledge of payroll best practices and changing payroll laws and regulations. Active participant in developing and improving payroll procedures, policies, and process efficiencies. Support the administration and maintenance of payroll documentation and electronic records, including scanning and verifying payroll documents for accuracy and legibility. Assist with pay card distribution and updates to employee direct deposit information. Maintain strict confidentiality of employee and payroll information. Additional Ability to perform all essential job functions with or without reasonable accommodation. Must have regular and punctual attendance. Perform additional duties and special projects as assigned.
Qualifications:
Skills and Abilities Proficiency in Microsoft Office, including Excel and Word. General computer proficiency with the ability to learn new systems quickly. Experience working with payroll and timekeeping systems is a plus. Demonstrated Competencies Strong attention to detail and accuracy. Excellent analytical, numerical, and problem-solving skills. Ability to prioritize tasks, meet deadlines, and manage multiple responsibilities in a fast-paced environment. Strong customer service mindset with the ability to support employees professionally and respectfully. Effective written and verbal communication skills. Ability to work independently while contributing to a collaborative team environment. Ability to handle confidential and sensitive information with professionalism and discretion. Physical Requirements Office setting.
Experience:
Minimum of 2 years of payroll, accounting, or related experience preferred. Experience with payroll, timekeeping, or HRIS systems preferred.
Education:
Associate degree in Accounting, Human Resources, Business, or related field preferred.
