Job Description

Job Description Aperture is seeking a Payroll & Workforce Operations Coordinator to serve as the critical link between contractor onboarding, payroll accuracy, and overall workforce operations. This role plays a key part in ensuring contractors are paid accurately and on time while maintaining a seamless, compliant experience throughout their engagement lifecycle. This individual will collaborate daily with recruiters, account managers, contractors, clients, and internal teams to ensure payroll integrity, operational efficiency, and clear communication across all stakeholders. The ideal candidate is highly detail-oriented, proactive, and comfortable managing payroll processes in a fast-paced, high-volume environment.
Key Responsibilities:
Payroll & Timekeeping (Primary Focus) Own weekly payroll processes by reviewing and validating contractor time submissions for accuracy and completeness Proactively identify and resolve missing or incorrect time entries by partnering with contractors, recruiters, and account managers Ensure all time is approved by clients prior to payroll deadlines Audit and validate time classifications (e.g., regular hours, overtime, travel time, per diem eligibility) Partner with accounting to ensure timely and accurate payroll processing Track and report payroll discrepancies, trends, and resolution timelines Onboarding & Offboarding Coordinate contractor onboarding by tracking and ensuring completion of all compliance requirements (background checks, drug screens, I-9s, etc.) Communicate onboarding delays or compliance issues in real time to internal stakeholders Facilitate timely and compliant contractor offboarding Per Diem, Travel & Reimbursements Confirm per diem eligibility, rates, and guidelines with contractors and recruiters Coordinate contractor travel logistics (flights, accommodations, rental cars) as needed Communicate travel and per diem details clearly to contractors Submit approved reimbursements to accounting for accurate payroll and invoicing alignment Invoicing & Accounts Receivable Support Validate contractor hours and expenses to support accurate client invoicing Assist with invoice distribution and follow up on outstanding payments Partner with account managers to ensure billing accuracy and resolve discrepancies
What We're Looking For:
Strong attention to detail with a high level of accuracy in payroll and data management Ability to manage multiple priorities and meet strict payroll deadlines Excellent communication skills with a proactive, problem-solving mindset Experience with timekeeping, payroll coordination, or workforce operations preferred Comfortable working cross-functionally in a fast-paced environment
