OVERALL POSITION DESCRIPTION
The Practice Coordinator oversees the operational, financial, and administrative performance of a the family medicine practice. This position ensures regulatory compliance, financial stability, and operational efficiency while supporting clinical teams and promoting an exceptional patient experience. The role partners closely with leadership to drive quality outcomes, staff engagement, and long-term growth initiatives.ESSENTIAL FUNCTIONS
Leadership & Staff Management Cultivate a positive, collaborative, and accountable work environment across all practice locations. Recruit, onboard, train, and retain administrative and clinical staff in alignment with operational needs. Conduct performance evaluations; provide ongoing coaching, feedback, and corrective action as needed. Maintain accurate records related to employee attendance, scheduling, and time-off requests. Ensure all staff and operational resources adhere to organizational values, policies, procedures, and ethical standards. Lead and facilitate regularly scheduled team huddles and staff meetings to promote communication and alignment. Clinic Operations Provide strategic operational leadership and direction to ensure efficient and effective practice operations. Develop, implement, and continuously improve policies, procedures, and workflows to optimize performance. Ensure compliance with employment laws, healthcare regulations, and organizational standards. Maintain knowledge of applicable federal, state, and local healthcare regulations; ensure ongoing compliance. Oversee accreditation, licensure, and regulatory readiness across all practice locations. Lead quality improvement initiatives and administer patient satisfaction surveys to enhance patient experience. Monitor, evaluate, and improve the quality of patient care and service delivery. Oversee the safety, maintenance, and functionality of facilities, equipment, and clinical spaces. Manage vendor relationships, including coordination of repairs, maintenance, and renovations. Implement and enforce privacy, security, and HIPAA-compliant practices to protect patient information. Foster strong patient relationships and ensure a consistently positive patient experience. Participate in long-term planning initiatives, including growth, expansion, and operational scalability. Address patient inquiries, complaints, and concerns promptly, professionally, and effectively. Ensure efficient and effective use of technology to support clinical care and administrative operations. Oversee electronic health records (EHR) systems and other healthcare information systems. Strategic and Financial Leadership Develop, manage, and monitor practice budgets, including revenue forecasting and expense control. Oversee billing, coding, and revenue cycle operations to optimize reimbursement and collections. Analyze financial performance metrics and identify opportunities for operational and financial improvement. Monitor market trends, industry benchmarks, and competitive landscapes to inform strategic decisions. Develop, implement, and maintain emergency preparedness and disaster response plans. Ensure operational continuity and readiness to manage unforeseen events or disruptions. Perform other duties as assigned by the Vice President of Operations.EDUCATION AND EXPERIENCE
Bachelor's degree in healthcare administration, business administration, or a related field required; graduate degree preferred. 4+ years of experience in healthcare administration or management, with a strong understanding of healthcare regulations, including 2+ years of leadership or supervisory experience. Clinical background preferred (e.g., LPN, RN, or equivalent). Demonstrated leadership, interpersonal, and communication skills. Proficiency with EHR platforms, scheduling systems, and Microsoft Office Suite. Working knowledge of medical terminology, insurance billing, and coding practices. Strong organizational skills with the ability to manage multiple priorities effectively. Thorough understanding of HIPAA regulations and patient confidentiality requirements. Empathetic, patient-focused approach with a commitment to service excellence. Ability to travel up to 20%Job Type:
