Job Description

Position Summary The Preventative Maintenance (PM) Lead is responsible for developing and overseeing the company's preventative maintenance program for all fleet vehicles, heavy equipment, and support assets utilizing Fleetio and Samsara programs. This role ensures equipment reliability, minimizes downtime, and extends asset life by coordinating maintenance schedules, tracking service intervals, and working closely with the shop, field teams, and purchasing.
  • Key Responsibilities Program Management
  • Develop and manage a comprehensive preventative maintenance program for all fleet vehicles and equipment
  • Establish and maintain service intervals based on manufacturer recommendations, usage, and operating conditions
  • Perform service and maintenance tasks while overseeing a technician to ensure work is completed accurately and safely
  • Continuously evaluate and improve preventative maintenance processes to reduce breakdowns and increase equipment uptime Scheduling & Coordination
  • Schedule and track all preventative maintenance activities
  • Coordinate with field supervisors and project teams to ensure equipment is brought in for service with minimal disruption to operations
  • Work closely with the shop to prioritize preventative maintenance work alongside repair needs
  • Collect oil samples and report results to the appropriate departments for analysis and follow-up action Tracking & Reporting
  • Maintain accurate records of maintenance history, service intervals, and upcoming PM needs
  • Utilize fleet management or maintenance software to track equipment status and generate reports
  • Monitor KPIs such as downtime, maintenance costs, and compliance rates Inspection & Compliance
  • Ensure all equipment meets safety standards and regulatory requirements
  • Coordinate inspections (DOT, safety, and internal) and ensure timely completion
  • Identify potential issues early through inspections and service data Parts & Inventory Coordination
  • Work with Purchasing/Warehouse to ensure availability of parts and consumables for scheduled maintenance
  • Forecast parts needs based on PM schedules Collaboration
  • Act as a liaison between field operations, mechanics, and management
  • Communicate maintenance schedules, downtime expectations, and equipment status updates
  • Support training and accountability for operators regarding equipment care and reporting issues
  • Qualifications
  • High school diploma or equivalent required; technical or vocational training preferred
  • 3-5+ years of experience in fleet maintenance, equipment management, or preventative maintenance coordination
  • Strong knowledge of heavy civil construction equipment (excavators, loaders, dozers, trucks, etc.)
  • Experience with maintenance tracking or fleet management systems
  • Strong organizational and scheduling skills
  • Ability to analyze data and identify trends in equipment performance
  • Drivers license and clean driving record
  • Preferred Qualifications
  • Experience in civil construction or heavy highway industry
  • Familiarity with DOT compliance and inspection requirements
  • Background working in or closely with a repair shop environment
  • Work Environment
