Job Description
Child Action is a private, non-profit corporation created in 1976 to promote the education and social welfare of children and families and to advocate on their behalf. Our programs include resource and referral services for families seeking child care, child care subsidies for qualifying families, recruitment and professional development of the child care workforce, and family education and support. We are seeking individuals who are highly organized, have the ability to multi-task, provide excellent customer service, have good problem-solving skills, and have the ability to understand the challenges facing families from a variety of ethnic and economic communities. Position Purpose & Scope:
Under the general supervision of the CARE Director, the Program Support Coordinator provides administrative and operational support to the CARE Department, including all CARE units. This role is responsible for coordinating documentation, maintaining records, supporting internal and external communications, and assisting with projects to promote efficient and effective program operations. The Program Support Coordinator works under general supervision and may receive direction from CARE unit managers to support unit-specific needs. This position requires a working knowledge of applicable policies, regulations, and organizational procedures to ensure tasks are completed accurately and in alignment with program requirements.Typical Duties:
Provides day to day administrative support to CARE management and assigned units. Prepares correspondence, reports, forms, and other documents based on drafts or instructions. Maintains logs, tracking systems, and organized records for forms, documents, and program activities. Performs data entry and ensures accuracy and completeness of information in internal systems. Coordinates calendars and schedules to support effective time management across program activities. Coordinates and schedules meetings, including preparation of agendas and supporting materials. Records, prepares, and distributes meeting notes, summaries, and action items. Communicates routine information, updates, and directives to staff and stakeholders as assigned. Assists with distributing notifications and communications to families and providers. Assists in maintaining policies, procedures, templates, and training materials to support program operations. Supports tracking and monitoring of program activities, including fund transfers, school schedules, and internal reporting. Prepares and organizes files and documentation to support audits, reviews, and compliance activities. Assists with the implementation of procedural updates and administrative changes. Provides support for special projects, including tracking progress and supporting timely completion of deliverables. Maintains and updates materials used for internal and external communications, including intranet and website content. Identifies and supports opportunities to improve administrative processes and efficiencies.Education & Experience:
Associate degree in a field that develops skills related to typical duties; and At least two (2) years of administrative or clerical experience in a professional office environment. Additional relevant experience may substitute for education.Qualifications, Knowledge, Abilities:
Knowledge of basic administrative practices, office procedures, and recordkeeping systems. Knowledge of general office software, including Microsoft Office applications. Ability to perform administrative tasks with accuracy and attention to detail. Ability to communicate clearly and professionally. Ability to prioritize tasks and meet deadlines. Ability to follow established procedures and apply guidelines to routine work. Ability to maintain confidentiality and handle sensitive information appropriately. Ability to work effectively both independently and as part of a team. Ability to provide strong customer service internally and externally. Ability to adapt to changing priorities and support multiple functions.Physical Factors:
Works in an office setting. Work is primarily sedentary and requires light physical effort; may require greater physical effort on an incidental basis. Possess visual ability and manual dexterity to operate a computer and other standard office equipment. May require occasional lifting of light materials and movement between work areas.
