Job Description

Project Coordinator This role supports a growing service organization in the HVAC industry by coordinating maintenance schedules, supporting service operations, and ensuring projects and service agreements are executed efficiently. The position plays a key role in organizing workflows, supporting field teams, and maintaining accurate service records in a fast-paced environment.
Responsibilities:
Coordinate and oversee preventive maintenance schedules for HVAC service agreements, including tracking and documentation. Maintain detailed records of customer equipment, service history, warranties, and site-specific requirements. Provide scheduling and logistical support for service technicians, subcontractors, and project teams. Monitor active service and project work orders to support timely completion and proper closeout. Assist with dispatch coordination, schedule adjustments, and day-to-day service administration. Communicate job status updates to internal teams, vendors, and customers as needed. Ensure service and project documentation remains accurate, organized, and up to date. Identify scheduling conflicts or resource gaps and escalate issues appropriately. Support ongoing improvements to service coordination processes and administrative workflows.
Requirements:
Availability to work onsite Monday through Friday, 8:00 AM - 5:00 PM. Experience in service coordination, maintenance administration, project support, or a related operational role. Exposure to HVAC, mechanical service, or maintenance-based environments preferred. Strong working knowledge of Microsoft Office and service scheduling or management systems. Ability to manage multiple priorities and adjust to changing schedules in a fast-paced environment. Clear written and verbal communication skills. Strong organizational skills with close attention to detail. Ability to work independently while supporting cross-functional teams.
