Job Description
Job Summary We are seeking a dynamic and highly organized Project/Office Assistant to support our daily operations and ensure the smooth functioning of our office environment. This role is vital in managing administrative tasks, coordinating projects, and providing exceptional customer service. The ideal candidate will be proactive, detail-oriented, and possess excellent communication skills to thrive in a fast-paced setting. A strong background in office management, clerical duties, and proficiency with various software tools will set you apart. Responsibilities Manage front desk operations, greeting visitors and directing them appropriately with professional phone etiquette Operate multi-line phone systems efficiently, handling inquiries and routing calls accurately Perform data entry and maintain organized filing systems for documents, reports, and correspondence Assist with bookkeeping tasks using QuickBooks or similar accounting software to support financial record-keeping Coordinate calendar management and schedule appointments or meetings for team members or clients Support office management activities including supply ordering, inventory tracking, and maintaining office equipment Proofread documents, emails, and reports to ensure accuracy and clarity before distribution Provide customer support by addressing inquiries promptly and professionally via phone or email Conduct general clerical duties such as photocopying, faxing, mailing, and filing important documents Utilize Google Workspace and Microsoft Office applications to prepare presentations, spreadsheets, and correspondence Assist with personal assistant responsibilities such as travel arrangements or special project support as needed Qualifications Proven office experience with strong organizational skills and attention to detail Proficiency in computer literacy including Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace tools Experience with QuickBooks or similar bookkeeping software is preferred Excellent typing speed and data entry skills with high accuracy levels Bilingual abilities are a plus for effective communication with diverse clients and team members Strong phone etiquette skills with experience managing multi-line phone systems Demonstrated ability to handle multiple tasks efficiently while maintaining professionalism under pressure Prior clerical or administrative experience is highly desirable Knowledge of office management practices including filing systems, calendar management, and supply coordination Personal assistant experience or familiarity with time management techniques will be advantageous Join us in a role that combines energetic support with detailed execution!
