Job Description

Montrose, NY | Part-Time | In-Office Established kitchen & bath design company seeking an experienced, organized, and personable professional to support our small but busy office. We are a close-knit team of two designers and an operations manager looking for someone who can confidently step in and help keep the office, bookkeeping, and projects running smoothly. This position is ideal for someone who enjoys variety in their day, is highly dependable, and can balance administrative responsibilities with customer interaction and project support. Position Overview This role combines bookkeeping support, office administration, customer service, and light project coordination. The ideal candidate is comfortable managing multiple priorities, communicating professionally with clients and vendors, and handling day-to-day operational tasks independently. Because our clients are often navigating active home renovations, we are looking for someone calm, patient, solutions-oriented, and professional under pressure. ResponsibilitiesBookkeeping & Financial Support Manage QuickBooks Online and QuickBooks Desktop tasks Enter invoices, payments, deposits, and expenses Assist with accounts payable and accounts receivable Maintain organized financial and vendor records Support day-to-day bookkeeping and administrative reporting Project Coordination Support Assist with tracking project timelines, orders, and follow-ups Coordinate communication with vendors, contractors, and clients Help ensure projects and orders stay organized and moving forward Support scheduling and appointment coordination Office Administration & Customer Service Answer phones professionally and direct calls appropriately Greet and assist clients in a friendly and professional manner Help resolve customer concerns calmly and efficiently Order and maintain office supplies Help maintain organization and neatness of the office Provide general administrative support to the team Qualifications Strong QuickBooks experience required (Online and Desktop) Previous experience in construction, remodeling, interior design, or a trade-related office strongly preferred Excellent organizational and multitasking skills Strong communication and customer service abilities Professional phone presence and positive attitude Comfortable working independently and taking initiative Detail-oriented with strong follow-through Ability to prioritize and adapt in a fast-paced environment Experience with project coordination or office management preferred What We're Looking For The right person for this role is: Friendly, professional, and dependable Calm under pressure and solutions-oriented Highly organized and efficient Comfortable juggling multiple responsibilities A team player with a positive attitude Easygoing but accountable Someone who enjoys supporting a small business environment where no two days are exactly alike Schedule Part-time In-office position in Montrose, NY Flexible scheduling may be available for the right candidate Compensation commensurate with experience.
Pay:
