Purchasing Coordinator Job Description This contract Purchasing Coordinator role supports increased business volume by accurately processing high-volume, complex purchase orders and helping to clear a backlog during an ongoing ERP implementation. The position starts as a 6‑month contract with the potential for permanent employment based on performance and business needs, and offers the opportunity to work in a structured, process-driven environment where attention to detail and strong communication skills are highly valued. Responsibilities Enter large, complex purchase orders accurately and efficiently, including orders with 100-150 line items, using manual data entry processes. Review and verify purchase order details to ensure data accuracy, completeness, and alignment with established standards. Follow standard work procedures and guidelines consistently to maintain process integrity and compliance. Utilize Excel for data entry, tracking, and basic analysis related to purchase orders and inventory information. Use Outlook to manage email communications with internal stakeholders and external suppliers regarding orders, updates, and issues. Communicate effectively via phone and email with internal teams and suppliers to provide updates on orders, resolve issues, and clarify requirements. Coordinate with internal and external customers to ensure all parties follow current purchasing processes and procedures. Proactively hold stakeholders accountable to established processes and timelines in a professional and constructive manner. Support inventory purchasing activities by applying a solid understanding of inventory management principles. Work with purchase requisitions, ensuring they are processed accurately and converted into purchase orders as required. Leverage ERP system experience to assist with purchase order entry and support the ongoing ERP implementation. Manage multiple tasks simultaneously, prioritize workload, and meet daily deadlines for purchase order entry. Exhibit a driven attitude, strong work ethic, and self-starting approach to handle a steady workload of purchase orders. Maintain punctuality and reliability, consistently arriving on time and meeting attendance expectations. Collaborate with team members to ensure timely completion of backlog purchase orders and continuous improvement of processes. Essential Skills Proven experience with purchase orders, including data entry and order entry in a high-volume environment. Strong data entry skills with a high level of accuracy and attention to detail. Hands-on experience with inventory purchasing and a solid understanding of how to manage inventory. Experience working with purchase requisitions and converting them into purchase orders. Proficiency with Microsoft Office, particularly Excel for data entry and tracking, and Outlook for email communication. Any prior experience using an ERP system in a purchasing, inventory, or order management context. Strong communication skills, with the ability to interact professionally with internal stakeholders and external suppliers. Ability to provide clear updates on orders, communicate issues promptly, and ensure adherence to current processes. Confidence in holding individuals accountable to established procedures and timelines in a respectful manner. Demonstrated ability to multitask, manage time effectively, and meet deadlines in a fast-paced environment. Consistent attention to detail and a commitment to maintaining data accuracy. Reliable, prompt, and punctual work habits. Strong work ethic, with a willingness to handle repetitive, detail-oriented tasks. Self-starter mindset, with the ability to work independently and stay motivated without constant supervision. Additional Skills & Qualifications Previous experience in a purchasing coordinator, buyer, or similar role in a manufacturing or industrial environment. Exposure to ERP implementation projects or system transitions. Comfort working with large, complex purchase orders that include many line items. Ability to adapt to evolving processes and contribute to continuous improvement initiatives. Professional phone and email etiquette when communicating with suppliers and internal teams. Work Environment The role operates in a professional, business casual office environment that supports a manufacturing operation. Standard hours are 8:00 AM to 5:00 PM, with some flexibility available as business needs allow. The position is structured as a 6‑month contract, with the possibility of conversion to permanent employment based on performance and organizational requirements. You will work extensively with computers, using Excel, Outlook, and an ERP system to enter and manage purchase orders and related data. The work involves a steady, detail-oriented pace, as most purchase orders are entered manually and may contain 100-150 line items. The dress code is business casual, and employees wear casual, closed-toe shoes. Steel-toe shoes are required when accessing the manufacturing floor, and you should have them available for occasional floor visits. Job Type & Location This is a Contract position based out of Greenfield, IN. Pay and Benefits The pay range for this position is $21.00 - $27.00/hr.
