Job Description
The Receptionist is fully accountable for the front office and lobby. The purpose of the Receptionist is to effectively answer the telephones on the first or second ring, greet visitors, and assist with general administrative support for various departments as needed. The ideal candidate will have experience with receptionist and accounts payable tasks. Responsibilities Ensure the lobby space is impeccable and deliver customer service that is warm, friendly, and professional to each guest that enters the lobby. Answer the telephone by the second ring, direct callers, and relay messages. Provide information to callers, greet visitors with a smile and offer a glass of water or cup of coffee. Direct queries from guests and the public to the appropriate party. Turn on the TV in the lobby. Reset chairs around conference room table when needed. Wipe down conference room table. Receive, sign for and distribute mail and deliveries to the appropriate party. Post outgoing mail. Schedule meetings in the conference room. Clean out refrigerators on Friday. Each Monday wipe down the conference table with Pledge and reset chairs. Set up new property files and maintain the filing system. Organize supply room and notify team lead when supplies need to be ordered. Collect and distribute packages. Distribute in coming mail and stamp out going mail. Perform other duties and assist co-workers as directed by supervisor. As a Receptionist, punctual and regular attendance is required. Type 50 wpm. Ability to read, write, and speak English. Ability to work a minimum of 40 hours per week. Can stand and walk or sit alternatively depending on specific needs of the day. Estimate 80% of the time is spent sitting at a desk and 20% walking or standing. Frequent need to see small detail and view computer screens. Ability to work in a fast-paced environment, meet deadlines, and multi-task. Have occasional need to perform the following physical activities: Bend/Stoop/Squat Reach above shoulder Lift 10-20 lb. boxes Walk stairs Ability to effectively manage competing demands on time and attention. Problem solving skills. Exhibits honesty and integrity. Strong work ethic. Well-developed interpersonal skills.
