Job Title:
Receptionist Job Description This contract receptionist role provides high-level front desk and administrative support in a professional, client-facing environment. The receptionist greets and directs visitors, manages incoming calls and inquiries, coordinates packages and mail, and supports various clerical and administrative tasks. This position requires a strong hospitality , exceptional professionalism, and the ability to deliver an outstanding customer experience while maintaining confidentiality and organization. Responsibilities Greet and warmly welcome visitors, ensuring a professional and positive first impression. Direct visitors to the appropriate person, department, or meeting space in a timely and courteous manner. Answer and route incoming calls using a telephone or console switchboard, providing accurate information and assistance. Provide general information to visitors and callers, responding to inquiries or directing them to the appropriate resource. Receive, log, and send packages and mail via couriers, ensuring accurate handling and timely distribution. Maintain a visitor log and/or call record, and issue security passes or badges in accordance with site procedures. Perform typing, filing, data entry, and other routine clerical functions to support daily operations. Manage and maintain the boardroom schedule, including booking meetings and ensuring room availability. Coordinate boardroom equipment needs and ensure meeting spaces are properly prepared and organized. Provide administrative support such as photocopying, binding documents, and preparing mailers and other materials. Handle information requests and conduct basic research as needed to support the team or management. Maintain organized records and files, both physical and electronic, to support efficient office operations. Safeguard confidential information and handle sensitive data with discretion and professionalism. Work independently to manage daily tasks and prioritize responsibilities to meet deadlines. Collaborate with colleagues and event coordinators to support on-site activities and meetings as required. Essential Skills Proven hospitality experience in a client-facing role with a high level of professionalism. Strong verbal and written communication skills, with an outgoing and personable demeanor. Excellent customer service skills and a customer service-oriented mindset. Ability to multitask effectively in a busy front desk environment. Strong interpersonal skills and the ability to interact confidently with visitors, clients, and internal staff. Ability to work independently, manage one's time, and prioritize tasks effectively. Strong organizational skills and attention to detail, with the ability to keep information structured and accessible. Ability to maintain confidentiality and handle sensitive information with discretion. Previous experience using Microsoft Office applications, including Word, Excel, and PowerPoint. Proficiency in data entry and basic administrative support tasks. High school diploma or equivalent required. Minimum 5 years of relevant receptionist, front desk, or administrative experience, with 5-10 years preferred. Additional Skills & Qualifications Experience in receptionist, front desk, or secretarial roles within medical, healthcare, or insurance-related environments is beneficial. Experience in receptionist customer service with a strong focus on client satisfaction. Experience with insurance verification or healthcare administrative processes is a plus. Comfort working with computer-based systems and office equipment. Ability to adapt quickly and learn through hands-on training. Demonstrated reliability, punctuality, and strong work ethic in prior roles. Work Environment This is a contract role based at a professional office location in Cohoes, with potential for contract extension. The position operates on a weekday schedule, Monday through Friday, with two available shifts: 7:00 a.m. to 4:30 p.m. or 8:30 a.m. to 5:00 p.m. The workplace offers free onsite parking for employees. The environment is front desk and reception-focused, with regular interaction with visitors, clients, and internal staff. You will work with standard office technologies and equipment, including a telephone or console switchboard, computers, Microsoft Office applications, photocopiers, and binding equipment. The setting is professional and customer-facing, where a polished, business-appropriate appearance and demeanor are expected. The interview process typically includes multiple stages, combining in-person and virtual discussions with various members of the management and coordination tea Job Type & Location This is a Contract position based out of Cohoes, NY. Pay and Benefits The pay range for this position is $24.00 - $25.00/hr. Eligibility requirements apply to some benefits and may depend on your job classification and length of employment.
