Job Description

Job Overview We are seeking a dynamic and organized Receptionist/Administrative Assistant to join our team! This vital role combines front desk responsibilities with comprehensive administrative support, ensuring smooth daily operations and exceptional customer service. The ideal candidate will be energetic, detail-oriented, and possess excellent communication skills. You will be the first point of contact for visitors and callers, manage office tasks efficiently, and support various administrative functions to keep our workplace running seamlessly. Responsibilities Greet visitors warmly and professionally, ensuring a positive first impression Manage multi-line phone systems, screen calls, and direct inquiries appropriately Handle incoming and outgoing correspondence, including emails, mail, and packages Maintain organized filing systems, both physical and digital, including data entry and document proofreading Schedule appointments, manage calendars, and coordinate meetings using Microsoft Office tools Support bookkeeping tasks such as invoicing, billing, and basic QuickBooks data entry Assist with office management duties including supply inventory, filing, and maintaining cleanliness of the front desk area Provide exceptional customer service by addressing inquiries promptly and courteously Perform clerical tasks such as typing documents, proofreading reports, and managing office records Support special projects or personal assistant duties as needed to ensure efficient office operations Experience Previous office experience or administrative support roles preferred Strong computer skills with proficiency in Microsoft Office Suite (Word, Excel, Outlook) Familiarity with multi-line phone systems and phone etiquette standards Excellent organizational skills with the ability to prioritize tasks efficiently Demonstrated customer service experience with a friendly and professional demeanor Clerical experience including filing, proofreading, and document management required Knowledge of office management practices such as calendar management, time management techniques Join us in creating a welcoming environment where professionalism meets positive energy!
