Job Description
Job Overview We are seeking a dynamic and organized Receptionist/Administrative Assistant to join our team! In this vital role, you will be the friendly first point of contact for visitors and callers, ensuring a positive experience while efficiently managing administrative tasks. Your energetic approach and attention to detail will keep our office running smoothly, supporting daily operations and fostering a welcoming environment. This paid position offers an exciting opportunity to develop your office management skills while contributing to a professional and supportive workplace. Responsibilities Greet visitors warmly, manage front desk operations, and direct guests appropriately Answer and route multi-line phone systems with professionalism and courtesy Handle incoming correspondence, emails, and phone inquiries promptly and accurately Maintain organized filing systems, data entry records, and document proofreading Manage calendar scheduling, appointment setting, and calendar management for staff Assist with bookkeeping tasks using QuickBooks or similar accounting software Support office management activities including supply inventory, ordering, and general clerical duties Provide excellent customer service by addressing inquiries and supporting client needs Utilize computer skills across Microsoft Office Suite. Ensure proper phone etiquette, organization of documents, and timely completion of administrative tasks Qualifications Proven office experience or clerical experience. Strong organizational skills with the ability to multitask effectively Excellent computer literacy including proficiency in Microsoft Office and data entry skills. Previous experience with an accounting system would be a plus. Experience with multi-line phone systems and front desk operations Bilingual abilities are a plus. Familiarity with bookkeeping software is a plus Exceptional customer service skills with professional phone etiquette Attention to detail for proofreading, filing, and maintaining accurate records Strong time management skills to prioritize tasks efficiently Personal assistant or medical/dental receptionist experience is advantageous but not required Join us in creating a vibrant office environment where your enthusiasm makes a difference!
