The Virginia Alcoholic Beverage Control Authority is currently seeking two Records Support Specialists within the Bureau of Law Enforcement. The Records Support Specialist provides excellent professional services to the citizens of the Commonwealth pertaining to the licensing of businesses, collection of taxes and the controlled distribution of alcoholic beverages. This position is assigned to the Bureau of Law Enforcement's License Records Management Section.
Job Duties and Responsibilities:
This employee accurately reviews and enters license related data in compliance with the bureau's data entry standards within two days of receipt. Responses to all public informational inquiries are accomplished on the same day. Provide guidance to existing and prospective licensees with regard to the licensure process Correspondence to corporate officials, attorneys and other external customers is clear, concise and in accordance with regulations, statutes and agency policies. Supports management and agents to achieve bureau goals and objectives by serving as one of the quality control specialists through the process of verifying and indexing files Assignments are carried out within established procedures and in a timely manner. Process various tax payments with minimal errors. Occasionally prepare correspondence which may be used in investigations and present the contents verbally or in writing. Ensure sensitive information is kept confidential and only released on a needed basis.
Minimum Qualifications:
Demonstrated ability to: operate personal computers; navigate databases; enter data, including crime data; gather and analyze pertinent information; produce statistical and financial reports; distinguish between relevant and irrelevant information and arrive at logical conclusions; troubleshoot problems and devise solutions; communicate effectively. Ability to handle stressful situations; troubleshoot problems and devise solutions; make independent decisions; and work independently. Support the agency's mission by providing excellent customer service. Understanding of how to properly handle sensitive information. Ability to maintain a positive, open and cooperative line of communication within the agency and bureau as well as with applicants, attorneys and other law enforcement agencies to ensure maximum cooperation and efficiency. Completion of internal and external training courses as needed. Commissioned as a Notary Public or have the ability to become a Notary Public. Knowledge of computer systems and automated databases, preferably Microsoft systems. Proper use of English grammar, punctuation, spelling, composition of correspondence. Knowledge of state and federal laws, regulations and agency policies relative to corporations, partnerships, and ABC licensing and fundamental math, is essential.
Preferred Qualifications:
Graduation from high school with considerable experience working with personal computers, automated databases, and cash management.
