This position collaborates closely with the Marketing Representative (Clinic Concierge) and internal teams to coordinate incoming referrals, maintain communication with referral sources, support outreach initiatives, and provides cross coverage for appointment scheduling operations.ESSENTIAL DUTIES AND RESPONSIBILITIES
Collaborates closely with the Marketing Representative to strengthen and maintain professional relationships with referring providers, including attorneys, primary care providers (PCPs), and other healthcare partners. Assists with communication and follow-up between referring offices and Joseph Spine, PA to ensure a smooth and efficient referral process. Supports referral outreach initiatives by assisting with referral tracking, provider updates, scheduling coordination, and timely exchange of patient information. Creates, organizes, and maintains targeted email marketing contact lists for referral source categories including legal offices, chiropractic offices, and PCP practices. Maintains positive professional relationships with referral sources while representing the mission, values, and high standards of Joseph Spine, PA. Monitors and assists with incoming website referrals to ensure timely routing and follow-up. Provides cross-coverage support for the appointment scheduling Call Center as needed, including assisting patients with scheduling appointments and answering incoming calls. Maintains confidentiality and complies with HIPAA and all applicable privacy regulations. Performs additional administrative and operational support duties as assigned.REQUIRED QUALIFICATIONS AND ABILITIES
Minimum High School Diploma or equivalent At least one (1) year experience in an orthopaedic spine or medical environment with referral coordination, patient access, medical scheduling, or healthcare administration/patient customer service role preferred Strong communication and interpersonal skills with the ability to build professional relationships Excellent organizational skills and attention to detail Ability to multitask and work efficiently in a fast-paced healthcare environment Proficiency in Microsoft Office, AllScripts EMR/EHR, scheduling platforms, and database management Knowledge of HIPAA compliance and patient confidentiality standards Able to effectively understand, follow, and communicate oral and written instructions in English. Must read, write, and speak English fluently to ensure clear work-related communication and patient safety.PHYSICAL REQUIREMENTS
