Job Description
Responsibilities include:
Provide pre-treatment and post-treatment education, ensuring informed consent, patient understanding, and preparation for successful treatment. Perform vital signs, review patient medications, and review relevant medical history before ketamine treatment. Administer ketamine infusions and/or injections in accordance with provider orders, clinical protocols, and safety guidelines. Provide infusion and IV therapy services across the lifespan, ensuring safe, individualized care and coordination with providers. Initiate and manage IV access for infusions, lab draws, and IV wellness treatments. Perform venipuncture and all lab-related duties, including blood draws, specimen collection, labeling, and processing. Ensure proper handling, storage, and transport of lab specimens in accordance with regulatory standards. Monitor and track lab orders. Retrieve, review, and route lab results to providers in a timely manner. Administer IV therapy services, including hydration, vitamins, and adjunctive treatments, per provider order and clinic protocols. Continuously assess patient safety, response, and tolerance during and after treatments. Identify and respond to adverse reactions or emergencies, escalating appropriately to the provider. Proactively contact patients to schedule ketamine sessions. Maintain a full treatment schedule. Conduct and document standardized assessments, including PHQ-9 and GAD-7, per protocol at the end of six sessions. Arrange follow-up appointments once patients complete their six sessions. Maintain infection control standards and ensure safe clinical practices at all times. Assist in care coordination for patients receiving multiple services, including ketamine, TMS, HBOT, IV therapy, medication management, and therapy. Administrative DutiesScheduling and Patient Management Coordinate patient scheduling for ketamine treatments, IV therapy, labs, and follow-up appointments. Communicate with patients regarding appointments, preparation instructions, including ketamine and lab preparation, and treatment expectations. Assist with medication refill coordination per provider direction. Support continuity of care through proactive patient follow-up and engagement. Medication, Infusion, and Lab Management Oversee medication and IV supply inventory, ordering, and storage in compliance with applicable regulations. Maintain lab supply inventory, including tubes, kits, and requisitions, to ensure readiness for daily operations. Ensure proper medication preparation, labeling, and administration practices. Maintain accurate logs for medications, infusions, and lab tracking. Ensure all infusion, lab, and clinical equipment is maintained, calibrated, and ready for use. Documentation and Billing Support Document all patient encounters in eClinicalWorks within 24 hours.Documentation should include:
Assessments Vital signs Infusion details IV therapy Lab draws Patient response Additional documentation responsibilities include: Ensure all lab orders, results, and communications are documented and properly linked in eClinicalWorks. Route lab results and clinical documentation to providers for timely review. Identify and flag discrepancies, missing information, or coding concerns, including lab-related billing concerns. Support the billing team with documentation requests, including documentation related to labs, infusions, and medical necessity. Compliance Management The RN will assist leadership in maintaining compliance with OSHA, HIPAA, and applicable healthcare regulations.Responsibilities include:
Assist leadership in maintaining compliance with OSHA, including bloodborne pathogen standards, and HIPAA regulations. Ensure proper handling and disposal of sharps, biohazard materials, and lab specimens. Conduct routine audits of lab processes, infection control, and clinical workflows. Educate staff on safety protocols, lab compliance, and regulatory updates. Collaborate with leadership to address compliance concerns and implement corrective actions. Patient Support Provide compassionate, patient-centered care in a mental health and wellness setting. Educate patients on ketamine therapy, IV therapy, and lab testing as it relates to their care. Conduct follow-up interactions to review outcomes, labs, and ongoing care needs. Foster a supportive, therapeutic environment that promotes adherence and positive outcomes. Maintain strict confidentiality in accordance with HIPAA and Colorado laws. Daily Duties Checklist Review the daily schedule in eClinicalWorks and confirm readiness, including orders, consents, labs, and eligibility. Prepare treatment rooms, infusion supplies, and lab materials. Perform lab draws, administer treatments, and monitor patients. Track and follow up on pending lab results. Complete and close all documentation within required timeframes. Manage medication, IV, and lab inventory. Communicate patient updates, lab results, and concerns to the provider. Perform end-of-day cleaning, biohazard disposal, and documentation verification. Additional Duties Assist in managing phone calls, patient messages, and care coordination. Monitor and route incoming lab results, faxes, and clinical documentation. Coordinate communication between patients, providers, labs, and pharmacies. Assist with medical records requests in compliance with legal standards. Support front office and clinical operations as needed. Assist with HBOT workflow when needed. Participate in staff meetings, training, and quality improvement initiatives. Research best practices, lab integrations, and clinical innovations to support growth. Perform other duties as assigned. Ensure attire is clean, professional, and allows for safe delivery of care. Wear closed-toe shoes at all times while providing clinical care. Maintain personal grooming and hygiene that reflects a polished and professional appearance at all times. Qualifications Active Registered Nurse license in the State of Colorado required. Current BLS certification required. ACLS certification preferred. Experience with IV therapy, venipuncture, and lab processes required. Ketamine therapy experience preferred, although training may be provided. Experience in psychiatric or outpatient clinical settings preferred. Knowledge of OSHA, including bloodborne pathogens, and HIPAA compliance. Experience with eClinicalWorks or a similar EMR system preferred. Strong clinical judgment, organization, and communication skills. Physical Requirements Ability to sit and stand for extended periods. Ability to perform repetitive venipuncture and IV placement. Ability to lift and carry up to 25 pounds. Ability to respond quickly in emergency situations. Compliance and Legal Requirements Practice within the RN scope of practice under Colorado state law. Comply with all OSHA, HIPAA, and applicable healthcare regulations. Maintain accurate, timely, and legally compliant documentation. Follow all lab, medication, and infection control protocols. Report safety incidents, exposure risks, or compliance concerns promptly. Maintain required certifications and continuing education.
