Job Summary:
Perform duties necessary to track training classes, individual officers and instructors. Responsible for entering and archiving class information and officer information into the record management system.

None Major Job Functions:
The following is a summary of the major essential functions of the Registrar/Records position. The incumbent may perform other duties, both major and minor, that are not mentioned below, and specific functions may change from time to time. Oversee and maintain instructor files in compliance with DCJS regulations. Register and confirm training of officers for basic and in-service training and ensure that training files are complete. Ensure required registration information is collected and accurate..i.e uniform sizes for ordering, physical forms, and DCJS forms. Maintain officer training records, documenting completion of training on all member agency personnel, as well as ensuring that supporting files and documentation of all classes and school is complete and submitted to DCJS as required.
Perform administrative duties to include:
copying, typing, faxing, preparing correspondence, and postage metering, and publishing Academy publications. Act as liaison with colleges, submitting training transcripts on officers' behalf. Provide administrative assistance to other staff members. Answer telephones; greet guests, visiting instructors, vendors, and others, providing requested information while always maintaining the proper degree of confidentiality. Archiving training files and class files per DCJS regulations and Library of Virginia standards. Other duties as assigned.
Qualifications:
Education and Training:
Bachelor's degree in Criminal Justice or related field preferred. Experience beyond the minimum may substitute for education.
Work Experience:
two years clerical/administrative duties Knowledge, Skills and Abilities required: Must have good administrative, communications and people skills and ability to maintain confidentiality when required. Must have a working knowledge of MS Office products. Requires a valid driver's license and the ability to operate a motor vehicle.
Physical Requirements:
Must be physically able to perform above duties. Physical requirements of this position will include sitting, standing, walking, talking and hearing with the occasional lifting of 20 pounds or less.
