Job Description

Job Summary The Renovation and Service Coordinator will play a crucial role in supporting the daily operations of the Service Renovation Department, assisting clients with their requests for estimates and coordinating plumbing jobs to meet clients' needs with maximum satisfaction. Individuals in this role will be a key point of contact managing communication between customers, technicians and the organization promoting smooth workflow. Including managing written sensitive communication such as sales estimates, purchase orders, contracts, team-work schedules, customers' communications and satisfaction surveys, and others. The ideal candidate will have experience in an estimating or scheduling role for a plumbing or trade-related company, exceptional analytical and organizational skills, and a proactive approach to problem-solving to determine urgency of matters and promote company processes and best practices. Individuals in this role must possess the ability to prioritize working in a fast-paced environment while handling multiple responsibilities simultaneously with accuracy.
Duties/Responsibilities:
Customer Service ;provide customer service and manage requests through emails , phone calls, messages and voicemails. Responding to incoming leads generated through multiple advertising channels efficiently. Estimating ;create and present sales estimates to clients and follow up with the process until client's acceptance and completion of the job. Scheduling and Dispatching ; manage and maintain the project estimator's site visit appointment calendar. Schedule and dispatch work orders efficiently to technicians and supervisors. Keep track of projects and schedules and communicate with clients or team members as needed. Project coordination ;coordinate builder's and crews schedules. Schedule locates and inspections as needed to comply with projects requirements and deadlines. Manage inspections, pull permits and coordinate subcontractors in compliance with local regulations. Report project issues and follow up until resolved. Sales Order Management ;convert approved estimates into sales orders, secure customer signatures to ensure proper acceptance documentation is prepared and processed. Create purchase orders for materials as needed. Reporting and Documentation ; enter and maintain up to date notes for project status, needs and progress. Maintain detailed and accurate documentation for service and renovation activities. Audit estimates and overall project documentation ensuring accuracy standards are met. Research and compile information and documentation and communicate with other departments to share information as needed. Manage communication ; act as the primary liaison between builders and field crews ensuring clear and timely communication. Contact builders, plumbing crews and clients to confirm job readiness and upcoming work. Maintain daily communication with field crews daily to address scheduling or project issues. Follow up with clients for completed feedback on completed projects and confirm customer satisfaction using a survey control log to document customer feedback, refer any issues to proper party to ensure customer satisfaction. Administrative Support ; perform administrative functions such as documentation processing, record keeping, scanning, filling. Interdepartmental Collaboration ; collaborate with the service coordinators as needed to ensure all project information is clearly communicated for accurate scheduling. Cross train and backup the Service Department. Performs other duties as assigned.
Requirements:
A minimum of 2 years of proven experience in a related role in a trade company required Familiarity with plumbing, construction, permits, and inspection scheduling highly preferred Proficiency in estimating, sales and logistic scheduling techniques required Proficiency with Microsoft Suite and Computers Excellent organizational, analytical and problem-solving skills and attention to details with a strong commitment to accuracy Ability to work effectively and independently in a fast-paced, deadline-driven environment
Physical Requirements:
This position requires prolonged periods sitting at a desk and working on a computer, typing, writing, and analyzing data. Moving, carrying and lifting equipment weighing up to 30 pounds. Moving throughout the building to perform daily tasks. Ability to safely and successfully perform the essential job functions with the ADA, FMLA and other federal, state and local standards, including meeting qualitative and/or quantitative productivity standards.
