Job Title:
Parts Associate Job Overview The Parts Associate is responsible for managing parts inventory and providing exceptional support to the service department. This role is essential for ensuring that service technicians have timely access to the parts needed to complete repairs efficiently, minimizing downtime and improving overall customer satisfaction. The Parts Associate works closely with the service team to maintain an organized, well-stocked inventory, facilitating smooth operations and contributing to the company's commitment to high-quality service. Key Responsibilities Inventory Management Accurately and efficiently receive, stock, and maintain inventory of parts and accessories. Ensure proper labeling and organization of parts to facilitate easy access. Ensure cyclic, semi-annual, and annual inventory counts are performed accurately and recorded in accordance with company guidelines. Service Department Support Work closely with the service team to determine parts required for repairs and maintenance. Emphasize speed of acquisition so parts are available to service technicians quickly, minimizing wait times and improving efficiency. Compile and continually update a list of local suppliers for common items. Utilize OEM suppliers as a last-resort source for repair parts when appropriate. Implement an organized process to supply parts quickly and efficiently at the back counter. Parts for each technician's jobs should be pre-picked, labeled with the RO number, and staged for easy retrieval. Maintain regular communication with the service department to confirm upcoming parts needs and coordinate staging for upcoming jobs. Over-the-Counter Parts Sales & Upselling Actively recommend additional products and services that enhance the customer experience. Utilize effective upselling techniques to increase overall sales and profitability. Assist in tracking over-the-counter (OTC) sales performance and inventory levels, providing insights for stock replenishment and promotional activities. Support management in developing strategies to drive sales and improve customer satisfaction, including bundling parts and accessories. Product Knowledge Development Stay informed about new products and industry trends to provide accurate and relevant information to customers. Order Processing Efficiently process work orders and customer orders, ensuring accuracy in pricing and inventory management. Handle special orders, returns, and exchanges as needed. Shipping Manage shipping activities, ensuring accurate order fulfillment and timely dispatch to meet customer expectations. Daily Responsibilities Open and close the parts department, ensuring all areas are clean and organized. Conduct inventory checks and update stock levels as necessary. Assist customers both in person and over the phone, answering inquiries and providing recommendations. Process incoming parts shipments and ensure accurate stocking in the inventory system. Collaborate with service technicians to identify and fulfill parts needs for ongoing repairs. Update pricing and promotional materials to reflect current offerings and specials. Participate in team meetings to discuss performance metrics, inventory needs, and customer feedback. Key Performance Indicators (KPIs) Accountable through daily one-on-one meetings with the Service Manager for: RO Status 50 (Parts Research) consistently maintained at less than 2 days. RO Status 70 (Order Parts) consistently maintained at less than 2 days. RO Status 80 (Receive Parts) consistently maintained at less than 6 days. Monthly Sales Gross Profit Target Achieve monthly sales gross profit goals in accordance with published targets. Open Purchase Orders Ensure open purchase orders are received within expected lead times. Ensure proper documentation is provided to the Accounts Payable department in a timely manner. Inventory Turnover Maintain optimal inventory levels to achieve a turnover rate of at least 4 times per year while minimizing aged inventory. Freight Account Management Ensure freight accounts remain in a positive balance. Provide freight invoices to the service department as requested. Inventory Accuracy Maintain a minimum of 99% inventory accuracy. Ensure stock inventory does not exceed 120 days old.
