PRIMARY DUTIES AND RESPONSIBILITIES
Serve as representative between Superintendent/Governing Board and school personnel, parents, state and county government agencies, businesses and general public Serve as personal assistant to the Superintendent and Governing Board by planning, initiating and carrying out administrative support. Manage Superintendent's and Governing Board's calendar and e-mail including appointments, travel, deadlines and commitments. Receive, review and organize all incoming mail and phone calls for Superintendent and Governing Board members. Create outgoing mail and communication for Superintendent and Governing Board. Attend all School Board meetings and assist the Administrator as secretary to the Board in maintaining minutes and other records, utilizing rapid writing skills and other systems to accurately transcribe the minutes of the meetings. Develop and prepare Governing Board meeting notices and agendas, information packets related to meetings, performing preparatory and follow-up actions for open and executive sessions. Collect and submit Board agenda items from departments, verifying completeness and accuracy. Distribute Governing Board information packets to Superintendent, Governing Board, District personnel and media Post notices of Governing Board meetings in accordance with the Arizona State Meeting Law. Communicate with Board members and District personnel concerning Board meetings, official functions, meetings and any other pertinent information. Attend various meetings to serve as recording secretary, transcribing and maintaining accurate record of meeting events. Maintain effective working relationships with Board members, District, school personnel, parents and general public. Prepare, disseminate and maintains accurate records of approved Governing Board policies, acting as a liaison with the Arizona School Boards Association in communicating these policies Coordinate and organize District hosted events and/or meetings facilitated by the Superintendent's or Governing Board's offices. Other duties as assigned.
KNOWLEDGE SKILLS AND ABILITIES
Demonstrate intermediate proficiency in computer programs such as Microsoft Word, Excel, PowerPoint, Outlook, Access and Explorer. Ability to operate standard office and recording equipment. Ability to communicate effectively verbally and in writing. Ability to do basic mathematical computations. Ability to apply common sense understanding to solve practical problems and deal with a variety of situations. Ability to employ trouble-shooting, problem solving and decision-making skills. Ability to establish priority ordering of tasks necessary to complete a project and convey these understandings and priorities to others. Ability to maintain confidentiality with regards to people or events that occur on campus. Ability to work cooperatively and courteously with staff, students, parents and community members. Ability to cope with job stress while exhibiting patience and tact when dealing with others. Perform all duties in accordance with Federal and State laws, district procedures and Board policies. Ability to handle confrontation and conflict without an emotional response. Produce accurate work and complete assignments with minimal supervision.
QUALIFICATIONS
High School Diploma or GED 5+ years administrative support experience Secretarial coursework at the Community College level preferred.

WORK ENVIRONMENT
Indoor office environment. This position regularly works indoors and may be required to work outdoors on occasion. The noise level in the work environment is generally quiet to moderate and may become excessively noisy at times. Will have contact with students, employees and the public. •Internal candidates must submit a request for transfer form signed by your site administrator within 5 working days of the posting date. •$23.87/hour - 12 Month position - 40 hours/week
