Position Overview The Sales Administrator will manage the procurement, inventory, and documentation of equipment, ensuring accuracy in orders and invoicing while providing exceptional customer service. Additionally, this role will handle special projects, maintain records, and collaborate with Equipment Coordinators. PRIMARY JOB DUTIES

 

• Equipment Coordinator orders retail equipment from original equipment manufacturers (OEM) or current inventory supply ensuring correct equipment or item is ordered. Maintains general knowledge of equipment allowing for easy identification of missing or unnecessary items related to purchase order.
• Maintains and updates product and equipment information and specifications including pricing and lead times. Maintains transaction related-files for equipment sold.
• Reviews, verifies, updates and ensures equipment and department invoicing is accurate and completed in a timely manner. Researches and resolves discrepancies. Scans all vendor invoices to vendor file.
• Maintains and tracks all equipment inventories researching variances/discrepancies. Orders stock equipment to replace pieces sold.
• Performs special projects as time permits including but not limited to COTI (customer order to invoice) project.
• Responsible for providing superior customer service for all internal and external customers by using excellent knowledge of company products and programs, as well as communicating effectively with team members.
• Processes purchase orders by validating information listed, entering data into appropriate system, scanning documents, completing warranty documents, communicating necessary information to needed parties, mailing documents and constructing new machine customer packets.
• Administers new equipment inventory process upon arrival including entering data into appropriate system, scanning documents, coordinating needed information with yard coordinator and mailing documents.
• Process rental purchase, and rentals of Remarketing equipment.
