Sales & Marketing Administrator Location:
Grayling, MI or Rhinelander, WI preferred (possibility for Menominee, MI) Full-Time, Exempt Reports to: President About CrossTrac Equipment CrossTrac Equipment is a forestry-focused heavy equipment dealer with full service stores in Rhinelander, WI and Grayling, MI and satellite locations in Menominee, MI, and Hartland, VT. Our mission is to provide strong service and support to customers who operate specialized forestry and related equipment. We serve loggers, forest products companies, land clearing contractors, and utility and infrastructure customers across the Great Lakes region and beyond. CrossTrac is known for expertise in cut-to-length forestry equipment and the use of forestry equipment in pipeline, land clearing, and storm cleanup applications. We are committed to putting product support and customer service first. Our OEM partners include TimberPro, Komatsu, Rottne, Eltec, and Barko on the forestry side and Takeuchi and LiuGong for construction equipment. In addition to new equipment sales, CrossTrac sells used and consignment machines, sells parts and attachments, and provides shop and field repair services. Our newly constructed Grayling, MI facility — featuring two 10-ton overhead cranes, five service bays, a dedicated wash bay, and expanded parts inventory space — reflects our commitment to growing business in Michigan after 10 years of groundwork laid in our original Gaylord, MI location. Position Summary CrossTrac is seeking an experienced, highly capable Sales & Marketing Operations Manager to serve as a corporate-level resource across our multi-store operation. Reporting directly to the senior management of the company, this is a newly created position designed to bring greater structure, coordination, and marketing execution capability to a rapidly growing company.This role is intentionally broad:
you will support the sales team operationally, coordinate customer financing, oversee store-level inventory and rental staff, lead trade show planning, and own the company's marketing relationships and execution. The right person will be deeply organized, fluent in business software, and a clear communicator who moves comfortably between strategic thinking and hands-on execution. Experience in forestry, agriculture, construction, or another equipment-intensive industry is a plus — but not required. What matters most is the ability to learn quickly, earn trust across a close-knit team, and consistently deliver. This position may be based at our Rhinelander, WI or Grayling, MI store, and will involve periodic travel between locations and to industry trade shows. Key Responsibilities 1. Sales Team Administrative Support Maintain and update customer quotes, sales opportunities, and follow-up activities in our CRM system and supporting spreadsheets Provide salespeople with timely and accurate inventory information to support customer interactions and deal closings Track and manage OEM discount programs and customer financing promotions, ensuring the sales team is informed of current terms and deadlines Assist in preparing sales reports, performance summaries, and other data requested by management Manage and maintain web listings for new, used, and consignment equipment available for sale 2. Purchase Order Management Prepare and process purchase orders for new equipment acquisitions in coordination with sales and management Liaise with OEM vendors and internal teams to confirm order status, delivery timelines, and special configurations Maintain accurate PO records and reconcile against invoices and inventory receipts 3. Inventory & Rental Operations Oversight Manage the store-level personnel responsible for checking in machines, tracking rental equipment, filing delivery paperwork, and updating the company website with inventory changes Serve as a direct resource at individual locations when needed, personally handling machine check-ins, rental tracking, and website updates Ensure all machine delivery documentation is complete, accurate, and properly filed Manage the process by which inventory data and website listings are kept current 4. Customer Financing Coordination Work alongside salespeople to guide customers through retail and business equipment financing applications Build relationships with lenders and financing partners; stay current on program terms, rates, and eligibility requirements Manage the financing process from application submission through approval and documentation, ensuring a smooth customer experience 5. Trade Show Organization Plan and manage CrossTrac's participation in industry trade shows from start to finish, including booth logistics, team coordination, and materials preparation Book hotels, travel arrangements, and team dinners associated with show attendance Develop and maintain trade show checklists and timelines to ensure nothing is overlooked Serve as the primary internal point of contact for show planning; communicate schedules, expectations, and assignments to the team 6. Marketing Management Own CrossTrac's overall marketing function, working closely with third-party agencies and web designers to plan and execute campaigns Review and approve marketing deliverables — digital ads, landing pages, email campaigns, social media posts — for accuracy and brand consistency Coordinate promotions tied to OEM programs, seasonal campaigns, new product launches, and trade show activity Track marketing activity and provide management with updates on spend, reach, and campaign results 7. Dealer Management Software (Aspen) Administration Become CrossTrac's resident expert on Aspen dealer management software, serving as the go-to resource for staff across all locations Train new and existing employees on Aspen workflows relevant to their roles Identify opportunities to improve data quality and process efficiency within the system Coordinate with the Aspen support team on issues, updates, and new feature rollouts Qualifications Required Experience in a sales support, operations coordination, or marketing role — ideally in an equipment, agricultural, automotive, or similarly technical environment Demonstrated proficiency with CRM platforms, Excel, and general business software; genuine ability to learn new systems quickly Strong organizational skills with a track record of managing multiple concurrent projects and deadlines Excellent written and verbal communication; comfortable interacting with customers, OEM representatives, lenders, and vendors Valid driver's license and willingness to travel between our locations and to industry events Preferred Prior experience with equipment or commercial financing applications and lender relationships Background in marketing coordination or agency/vendor management Trade show or event planning experience Familiarity with Aspen or comparable dealer management software Working knowledge of forestry, logging, land clearing, construction, or agricultural equipment markets What We Offer Competitive base salary commensurate with experience (see compensation table below) Health, dental, and vision insurance Paid time off and company holidays Retirement plan with employer contribution Direct access to company leadership and influence over how this role evolves as CrossTrac grows A close-knit, mission-driven team in a specialized industry where your work has visible impact Compensation We are committed to paying competitively for the right person — and equally willing to bring on a highly capable candidate at a lower level and invest in their growth. The ranges below reflect our genuine scale depending on experience and fit: Candidate Profile Annual Base Salary High-potential, developing (strong foundation, growing into the role) $60,000- $70,000 Solid fit (covers most responsibilities, some experience in several areas) $70,000

- $90,000 Performance-based bonus potential available.
