We supply commercial and industrial lighting products to customers across the United States. We are a small, fast-moving team where every employee makes a direct impact on the business. We are looking for a reliable, detail-focused professional who takes ownership of their work and wants to grow with us. Position Overview The Sales & Operations Coordinator is the right hand to the CEO, handling inbound customer activity from first contact through final shipment. You will answer inbound sales calls and emails, prepare quotes, process sales orders and invoices, coordinate shipping, and keep our customers informed every step of the way.This is a results-driven role:
accuracy, responsiveness, and on-time delivery are how success is measured. Employment Structure & Review Timeline 90-Day Probation Period:
The first 3 months are a probationary period. Performance, attendance, attitude, accuracy, and overall fit will be evaluated. Continued employment beyond the probation period is at the Company's discretion. 6-Month Performance Review:
At the 6-month mark, a formal performance review will be conducted. If performance meets or exceeds expectations, the employee becomes eligible for the monthly performance bonus.Performance Bonus Eligibility:
Up to $500 per month, paid based on meeting documented KPIs (task completion, quality, responsiveness, attendance, professionalism). Bonus is not guaranteed and is earned based on measured performance.Ongoing Reviews:
Performance will be reviewed twice yearly (June 30 and December 31). Salary and bonus opportunities may grow over time based on demonstrated results and increased responsibility. What You Will Do Inbound Sales & Customer Support Answer inbound sales calls, emails, and online inquiries promptly and professionally. Build trust with customers by responding quickly, listening carefully, and following through. Make follow-up calls to existing customers and warm leads to support repeat business. Schedule appointments and meetings between customers and the CEO when needed. Identify upsell and cross-sell opportunities during customer conversations. Quoting, Sales Orders & Invoicing Prepare accurate price quotes and proposals based on CEO direction and pricing guidelines. Convert approved quotes into sales orders and enter them into the system without errors. Generate and send customer invoices on time. Follow up on open quotes, pending approvals, and outstanding orders until they close. Shipping & Order Fulfillment Prepare shipping orders and coordinate with carriers (UPS, FedEx, LTL freight) for pickups and deliveries. Track shipments, communicate status updates to customers, and resolve shipping issues quickly. Prepare shipping documentation including packing lists, bills of lading, and customs paperwork as needed. Work with warehouse staff and outside vendors to ensure on-time, accurate fulfillment. Handle returns, replacements, and customer claims under CEO direction. Administrative & CEO Support Maintain accurate customer records, CRM data, and order/shipping documentation. Provide regular reporting to the CEO on sales activity, open quotes, orders, and shipments. Support the CEO with ad-hoc business projects and follow-ups. Collaborate with bookkeeping, warehouse, and outside vendors to keep daily operations running smoothly. Who You Are Dependable and punctual — you show up on time every day, every shift. Required Qualifications 2+ years of experience in inside sales, sales support, customer service, order processing, or a similar coordinator role. Comfortable handling a high volume of inbound calls and emails throughout the day. Strong working knowledge of Microsoft Office (Excel, Word, Outlook). Experience preparing quotes, invoices, sales orders, and shipping documents. Excellent verbal and written communication skills in English. Strong organizational skills and ability to manage multiple priorities at once. High school diploma or equivalent required. Authorized to work in the United States (no sponsorship available). Preferred Qualifications Prior experience in lighting, electrical, HVAC, construction supplies, or other B2B product industries. Familiarity with QuickBooks, NetSuite, SAP, or similar ERP / accounting platforms. Hands-on experience coordinating freight and shipping carriers (UPS, FedEx, LTL freight). Associate's or bachelor's degree in business, communications, or related field. Bilingual (English / Mandarin or English / Spanish) is a plus. Performance Expectations This is a measurable, results-focused role. Your performance will be evaluated at the 90-day probation mark, at the 6-month review, and twice yearly thereafter against the following standards:Task Completion:
95% or higher of assigned tasks completed on or before deadline.Quality:
Less than 2% error rate on quotes, orders, invoices, and shipping documents.Responsiveness:
Same business day response to CEO requests; customer inquiries acknowledged within 1 business hour.Attendance:
On time daily, with no more than 2 unplanned tardies per review period (tracked via ADP time card).Professionalism:
Respectful and cooperative communication at all times, with zero documented incidents. Compensation & Benefits Base salary: $45,000•$52,000 per year, based on experience.Performance bonus:
