Sales Manager / Office Manager / Accounting Manager Job Summary Sunway Nuts USA, Inc. is seeking a detail-oriented and responsible Account Specialist / Sales Support Specialist to support daily sales, customer accounts, order processing, labeling coordination, shipment scheduling, and general office operations. This position will work closely with the sales team, warehouse team, customers, truck carriers, and accounting department to ensure customer orders are processed accurately, products are properly labeled, shipments are scheduled on time, and customer account information is properly maintained. The ideal candidate should be organized, detail-focused, able to multitask, and comfortable communicating with customers, drivers, warehouses, and internal departments in a fast-paced food import and distribution environment. Key Responsibilities Assist the sales team with daily order processing, customer follow-up, and account support. Enter and process sales orders, invoices, credit memos, and other customer account documents accurately and on time. Review customer purchase orders to verify product information, pricing, quantities, delivery dates, shipping instructions, and payment terms. Communicate with customers regarding order status, delivery appointments, invoices, account balances, and general account questions. Coordinate with the warehouse team to confirm product availability, order preparation, labeling needs, and shipment readiness. Assist with product labeling tasks, including preparing labels, printing labels, organizing label instructions, and coordinating with warehouse staff to ensure products are labeled correctly. Verify that labels match the correct product, flavor, SKU, lot number, customer requirement, or shipping instruction before shipment. Schedule truck appointments, delivery appointments, and carrier pickups as needed. Communicate with trucking companies, drivers, warehouses, and customers to arrange pickup and delivery schedules. Prepare and organize shipping documents, including bills of lading, packing lists, delivery instructions, appointment confirmations, and related paperwork. Follow up on shipments to ensure orders are picked up and delivered on time. Assist with accounts receivable tasks, including payment tracking, posting payment information, following up on overdue balances, and resolving billing discrepancies. Maintain accurate customer account records, including contact information, billing information, credit terms, order history, and account notes. Help resolve customer service issues related to orders, invoices, labels, deliveries, shortages, damages, or other account matters. Coordinate with sales, warehouse, logistics, and accounting teams to ensure smooth daily operations. Maintain organized electronic and physical records of orders, labels, invoices, shipping documents, customer communications, and payment records. Support month-end reporting, account reconciliation, and other administrative or accounting-related tasks as assigned. Perform general office duties and provide backup support to other departments when needed. Qualifications High school diploma or equivalent required; associate's or bachelor's degree in Business Administration, Accounting, Logistics, Supply Chain, or a related field preferred. Previous experience in sales support, customer service, account management, logistics coordination, warehouse administration, or accounting support preferred. Experience in food distribution, wholesale, import/export, logistics, or consumer goods industry is a plus. Experience with order processing, shipping documents, truck scheduling, or warehouse coordination is preferred. Strong attention to detail, especially when reviewing labels, product information, invoices, and shipping documents. Good communication skills and ability to work professionally with customers, carriers, drivers, vendors, and internal teams. Basic understanding of invoices, statements, payments, customer accounts, and accounts receivable is preferred. Proficiency with Microsoft Office, especially Excel and Outlook. Experience with ERP, accounting, inventory, or order management systems is a plus. Ability to multitask, prioritize daily responsibilities, and meet deadlines. Must be reliable, organized, and able to work independently with minimal supervision. Bilingual English/Chinese or English/Spanish is preferred but not required. Ability to coordinate orders, labels, shipments, and delivery appointments. Clear communication with customers, truckers, drivers, warehouse staff, and sales team. Basic accounting and accounts receivable knowledge. Ability to handle confidential customer and financial information. Detail-oriented mindset and strong sense of responsibility. Team-oriented attitude and willingness to support multiple departments. Work Environment This position is primarily office-based but will require regular communication with warehouse and logistics personnel. The employee may occasionally need to coordinate with warehouse staff regarding product labels, order preparation, shipment status, and truck appointments.
