$15.00-$17.00 per hour Job Description Legal Specialist - Client Intake & Consultations Fabiola De Armas P.A. is a fast-growing, Latina-owned law firm based in Miami, FL, dedicated to putting clients first in every aspect of estate planning, probate, and marital agreements. We're looking for a personable, detail-oriented, and organized Legal Specialist who thrives in a fast-paced, client-focused environment. This role is ideal for someone who enjoys speaking with people, building relationships, and helping prospective clients navigate the first steps of the legal process. The Legal Specialist will be responsible for managing the initial stages of the client journey, from conducting consultation calls and following up with leads to collecting identification documents, completing intake forms, and preparing engagement agreements. Once the onboarding process is complete, this person will ensure a smooth handoff to the team member responsible for drafting legal documents. This is a phone-heavy, client-facing position that plays an important role in the Firm's growth and overall client experience. Key Responsibilities Client Consultations & Lead Management Conduct consultation calls with prospective clients regarding estate planning, probate, and marital agreements. Serve as an initial point of contact for prospective clients, providing a welcoming, professional, and helpful experience. Communicate with leads and clients primarily by phone, as well as through email and other communication channels as needed. Follow up with prospective clients, respond to inquiries, and help guide them through the next steps in the Firm's process. Maintain accurate and up-to-date Lead and Client records in MyCase, our CRM system. Track consultations, follow-ups, and outstanding items to ensure leads receive timely communication. Client Intake & Onboarding Guide clients through the initial intake process and explain the information and documentation needed to begin their matters. Request, collect, and organize client identification documents and other required information. Conduct intake form meetings to gather client information and ensure forms are completed accurately and thoroughly. Review intake forms for completeness and follow up with clients to obtain missing information or documentation. Prepare engagement agreements for review and execution in accordance with Firm procedures. Track signed engagement agreements and outstanding onboarding requirements. Ensure client information is accurate, organized, and ready for the next stage of the legal process. Internal Coordination & Case Handoffs Coordinate with attorneys and other Firm team members to ensure a smooth transition from intake to document drafting. Organize completed intake forms, identification documents, and engagement agreements for the drafting team. Communicate relevant client information and outstanding questions during the handoff process. Follow established Firm procedures and help improve the efficiency of the intake and onboarding process. Handle confidential client information with discretion and professionalism.

Qualifications English:
Fluent in written and verbal communications.
Spanish:
Fluent in written and verbal communications. Customer service, sales, client relations, or administrative experience: 1+ years. Strong written and verbal communication skills. Excellent organizational skills and attention to detail. Comfortable speaking on the phone for a significant portion of the workday. Ability to manage multiple leads, follow-ups, and client onboarding tasks.
Legal/law firm experience:
Preferred. Estate planning, probate, or family law experience: Preferred. Client relationship management system experience, including

2:00 PM-7:00 PM This is an in-office role near Dadeland Mall in Miami, FL . You must be consistently available during the scheduled hours, including Saturdays. This position is heavily focused on phone calls, lead management, and client communication. Applicants should be comfortable spending much of their shift speaking with prospective clients, conducting consultations, following up on leads, and coordinating the intake process.
