We are seeking a highly personable and organized Client Relationship Coordinator to serve as an important connection between our advisory team and our clients. This role is ideal for someone who enjoys building relationships, communicating by phone, email, and text, and helping clients stay engaged with their financial planning process. Position Overview The Client Relationship Coordinator is responsible for proactively reaching out to clients and prospects to schedule review meetings, maintain regular communication, and ensure clients receive a consistent, high-touch experience. The ideal candidate is confident on the phone, enjoys speaking with people, is naturally organized, and can represent our firm with professionalism and warmth. This is not a sales or cold-calling role. Instead, you will be contacting existing clients and warm prospects to strengthen relationships and coordinate appointments with our advisory team. Key Responsibilities Client Outreach & Relationship Management Conduct outbound calls to clients to schedule annual, semi-annual, and quarterly review meetings. Re-engage clients who have not met with their advisor recently. Maintain consistent client communication and follow-up. Help ensure clients feel valued, appreciated, and connected to the firm. Document client interactions and appointment activity within CRM systems. Appointment Scheduling & Coordination Schedule appointments for advisors and support staff. Coordinate meeting logistics, including in-person, virtual, and phone meetings. Send appointment confirmations and reminders. Manage advisor calendars to maximize efficiency. Assist with meeting preparation and follow-up activities. Client Experience Enhancement Execute client appreciation and relationship-building initiatives. Contact clients regarding events, educational workshops, and special firm communications. Identify opportunities to improve client engagement and retention. Maintain a professional, welcoming, and service-oriented approach in every interaction. Administrative Support Update and maintain accurate client records. Assist with CRM data management. Track outreach campaigns and reporting metrics. Provide support for special projects and team initiatives. Qualifications Required Exceptional verbal communication and interpersonal skills. Professional phone presence and confidence initiating conversations. Strong organizational and time-management abilities. High attention to detail and accuracy. Ability to manage multiple priorities simultaneously. Proficiency with Microsoft Office applications. Ability to work effectively in a team-oriented environment. Preferred Experience in financial services, banking, insurance, healthcare, hospitality, or customer service. Experience with CRM systems. Prior scheduling, client service, or relationship management experience. Bachelor's degree preferred but not required. Pay:
$23.00 - $25.00 per hour Expected hours: 40.0 per week
