full-time Position Overview The New Business Coordinator is responsible for managing the end-to-end processing and case management of insurance, investment, and annuity business. This role serves as a key point of contact between financial professionals, home office partners, carriers, underwriting teams, and internal support staff to ensure business is submitted accurately, processed efficiently, and placed in a timely manner. The New Business Coordinator plays an important role in the advisor experience by providing proactive communication, anticipating case needs, resolving outstanding requirements, and ensuring advisors have clear visibility into the status of their business. The ideal candidate is highly organized, detail-oriented, proactive, service-focused, and comfortable managing multiple priorities in a fast-paced financial services environment. Key Responsibilities New Business Processing & Case Management Review applications and supporting documentation for completeness and accuracy prior to submission. Ensure all required forms, signatures, disclosures, and supporting documentation are in good order. Submit and track insurance, investment, and annuity applications from initial submission through approval, issue, placement, and reporting. Maintain ownership of pending cases and proactively identify and resolve outstanding requirements. Order and track medical exams, Attending Physician Statements (APS), and other underwriting requirements, as applicable. Coordinate with advisors, clients, carriers, and underwriting teams to obtain outstanding information and documentation. Monitor underwriting and processing timelines and follow up appropriately to keep cases moving forward. Coordinate policy delivery requirements, placement documentation, and reporting of issued business. Assist with initial premiums, deposits, and related documentation when required. Escalate time-sensitive or complex cases to the appropriate internal or carrier partners. Advisor & Client Service Serve as a primary liaison between advisors, carriers, underwriting teams, home office partners, and internal departments. Provide proactive and timely communication regarding case status, outstanding requirements, next steps, and anticipated timelines. Respond promptly and professionally to advisor and client service inquiries. Partner with advisors to troubleshoot case issues and identify solutions. Follow up with carriers and internal partners to expedite cases when appropriate. Deliver a high level of service while managing expectations and maintaining consistent communication throughout the new business process. Build strong working relationships with advisors and internal partners to create a seamless new business experience. Tracking, Reporting & Workflow Management Maintain accurate and up-to-date records for all pending and placed business. Update CRM systems, case management platforms, and internal tracking tools with case activity and status changes. Generate and distribute regular pending case updates and management reports. Monitor case aging, turnaround times, outstanding requirements, and placement activity. Ensure appropriate follow-up occurs within established service standards. Identify trends, recurring processing issues, and opportunities to improve efficiency. Recommend and assist with implementing process improvements that enhance the advisor and client experience. Advisor Support & Training Serve as a resource for advisors and staff regarding application requirements, submission procedures, and new business processes. Provide onboarding and training to new advisors and staff on business processing procedures, systems, and expectations. Assist with ongoing education related to field underwriting, application best practices, and product processing. Communicate process updates, carrier changes, and new business best practices to advisors and staff. Promote adherence to firm, carrier, compliance, and regulatory requirements. Qualifications Required 2+ years of experience in financial services, insurance operations, new business processing, case management, or a related administrative role. Exceptional organizational and time-management skills with the ability to manage a high volume of cases and competing priorities. Strong attention to detail and commitment to accuracy. Excellent written and verbal communication skills. Strong follow-through with a proactive approach to identifying and resolving issues. Ability to prioritize effectively and meet deadlines in a fast-paced environment. Strong customer-service mindset with the ability to work effectively with advisors, clients, carriers, and internal partners. Proficiency in Microsoft Office, including Excel, Outlook, Word, and Teams. Ability to work independently while collaborating effectively within a team environment. Ability to handle confidential and sensitive information with professionalism and discretion.
