Case Manager Assistant Lindsey Financial Group | Redlands, CA (Hybrid) |
Full-time Pay:
$50,000-$80,000/year, based on experience, education, and performance — with flexibility above this range for an exceptional candidate. We're looking for a detail-oriented, highly organized Case Manager Assistant who thrives on building great client relationships and is ready to learn quickly and grow with us long-term. About the Role As Case Manager Assistant, you'll provide administrative, financial, and project support for client cases, working closely with and reporting directly to a dedicated Case Manager. You'll be the engine behind our workflow — tracking every task is the top priority of this role — while maintaining sharp attention to detail and following up consistently so nothing ever falls through the cracks.   • Track and manage client workflows across all active cases using our project management software (Wrike) this is the highest priority responsibility of the role
  • Build and maintain strong client relationships, ensuring every interaction meets their expectations
  • Maintain meticulous attention to detail while preparing, reviewing, and organizing financial and legal documents
  • Follow up proactively and consistently with clients and third parties (CPAs, advisors, legal teams, etc.) to collect outstanding items and keep every project on schedule
  • Assist with a variety of tasks spanning financial, estate, insurance, and tax planning, working closely with the Case Manager to identify priorities — as your depth of client knowledge grows, so does your ability to take these tasks on with less oversight
  • Collect and process client intake and renewal documents
  • Scan, save, and organize all client documents (E-files)
  • Work directly with clients to gather necessary financial documents
  • Create client entity matrices and flow charts
  • Draft preliminary client retainers and assist with tax projections
  • Schedule client meetings and prepare agendas, notes, and action items
  • Communicate proactively across internal departments and outside partners on project status What We're Looking For
  • Previous experience in the financial planning industry required
  • Preferred professional designations (or a combination thereof):
MBA, CFP, CHFC, CLU, EA, AEP, RFC, CPA, JD
  • Moderate-to-advanced skills in Microsoft Office and Outlook
  • Strong written and verbal communication skills (email, phone, and in-person)
  • Excellent analytical skills with a strong attention to detail — a must for this role
  • Punctual and reliable , with consistent, on-time attendance
  • Proven ability to track and manage multiple workflows simultaneously without letting details slip
  • Strong follow-up skills; comfortable proactively chasing down information from clients, case manager(s), in-house accounting team as well as third parties
  • Ability to work autonomously in a fast-paced environment while following internal systems and protocols
  • A good sense of humor and a team-player attitude — we like to keep things fun even when we're heads-down and busy Compensation & Schedule
  • $50,000-$80,000/year, based on experience, education, and performance
